Job Title: Chief of Staff & Executive Assistant to HR - Chief Strategy & Transformation Officer

Role Overview

This hybrid role blends strategic support and executive coordination. As Chief of Staff & EA to the HR - Chief Strategy & Transformation Leader, you will drive operational excellence, manage executive priorities, and ensure seamless day-to-day execution. You’ll be the right hand to a senior leader, helping shape HR technology strategy while managing critical administrative functions.

Key Responsibilities:

🔹 Strategic & Chief of Staff Functions

  • Partner with the HR IT Leader to align team goals with broader organizational strategy.

  • Drive execution of key initiatives across HR technology, digital transformation, and workforce platforms.

  • Prepare executive briefings, presentations, and reports for leadership and stakeholders.

  • Coordinate cross-functional projects, track milestones, and ensure timely delivery.

  • Facilitate leadership meetings: agenda setting, minutes, and action tracking.

  • Act as a liaison between the HR team and other departments

 

🔹 Executive Assistant Functions

  • Manage complex calendars, including scheduling meetings across time zones.

  • Coordinate domestic and international travel: flights, hotels, visas, itineraries.

  • Handle expense claims, reimbursements, and budget tracking for the HR IT function.

  • Organize team offsites, workshops, and leadership events.

  • Screen and prioritize emails, calls, and meeting requests.

  • Maintain confidentiality and discretion in handling sensitive information.

Required Skills & Qualifications

  • 8+ years of experience in executive support, project coordination, or HR/IT operations.

  • Strong organizational and multitasking skills; thrives in fast-paced environments.

  • Excellent written and verbal communication.

  • Proficiency in Microsoft 365, travel platforms, and expense management tools.

  • Experience in HR systems (Workday, SuccessFactors, etc.) is a plus.

  • High emotional intelligence and stakeholder management capability.

  • Bachelor’s degree required; MBA or HR/IT certifications preferred.
