Job Summary
The Business Support Executive will provide operational and administrative support to the Singapore business, with primary responsibility for verifying customer Purchase Orders (POs), preparing and issuing Sales Order Acknowledgements (SOA), and supporting sales order and customer account activities. The role requires close coordination with Sales, Finance, and Order Management teams to ensure order accuracy, inventory alignment, and timely customer communication.
Essential Functions
Verify customer Purchase Orders (POs) for accuracy, including pricing, quantities, delivery terms, and contractual compliance.
Ensure all POs meet internal control and commercial requirements prior to sales order processing.
Prepare, generate, and issue Sales Order Acknowledgements (SOA) to customers in a timely and accurate manner.
Support Sales Order (SO) creation, amendment, and tracking in ERP systems.
Coordinate closely with the Order Management team on inventory availability and allocation to support order fulfilment.
Liaise with customers on delivery schedules, order status, and any changes impacting committed delivery dates.
Work with Sales, Finance, and Order Management teams to resolve PO discrepancies, pricing variances, inventory constraints, and order-related issues.
Act as a point of contact for customer inquiries related to order confirmation, delivery status, and order documentation.
Monitor order status and proactively follow up on pending approvals or clarifications to ensure on-time delivery.
Maintain accurate order records and documentation in accordance with audit and compliance requirements.
Support periodic reporting related to orders, SOA issuance, inventory coordination, and delivery performance.
Identify and support process improvements to enhance order accuracy, inventory visibility, and operational efficiency.
Responsible for generating accurate and timely system reports to support business operations
Required/Preferred Education and Experience
Diploma or Degree in Business Administration, Supply Chain, Finance, or a related field.
1–3 years of experience in sales support, order management, or business operations (experience supporting Singapore business preferred).
Hands-on experience with PO verification, Sales Order Acknowledgement (SOA), and delivery coordination is an advantage.
Familiarity with ERP systems (e.g. SAP, Oracle, MS Dynamics) is preferred.
Proficiency in Microsoft Excel and other MS Office applications.
Familiarity with GDPMDS, ISO 13485, and HSA (Health Sciences Authority – Singapore) regulatory requirements is highly preferred.
