Hyster-Yale Materials Handling are looking for a Business Support Coordinator based at Irvine (Scotland). As part of the Facilities team, you will provide a professional and courteous greeting to employees and guests of EDSC Irvine. You will also provide the business Finance Support in relation to a variety of activities primarily but not exclusively Travel & Expenses activities, Vendor Master updates and coordinate the Business Management Site Document (BMS) activities in relation to ISO9001-2015.
This vacancy is full time, and office based, working hours 08.30am to 17.00pm (Monday to Thursday), 08.30am - 16.00pm on Friday.
Key Accountabilities:
Reception:
Meet and greet all arrivals at EDSC (European Divisional Support Centre) Irvine in a professional manner.
Ensure access to the EDSC is for authorised people only, adhering to the door access entry system.
Ensure the visitors book is completed by all visitors and for any employee requiring temporary door access badges.
Operating the telephone switchboard.
Logging deliveries and ensuring appropriate tracking is in place for all arriving packages.
Processing all items using DHL online processing system (My DHL).
Daily collation and processing of both incoming and outgoing mail.
Ordering of Lyreco office supplies for mailroom, stationery store and individual requests.
Book taxi transfers and accommodation as required.
Assist expenses with new Barclaycard admin.
Manage our EDSC Social Committee (facilitate committee meetings, organise and plan social activities for our site).
All other administration support as required.
Finance Support:
Support travel and expenses administration activities: corporate travel cards, purchasing cards.
Assist with travel queries and escalate as appropriate.
Assist with Expenses financial month end.
Input accurate monthly accrual journal entries.
Action vendor Master updates to SAP purchase ledger and yearly duplicate reviews.
Support other ad hoc activities as identified.
Business Management Site Coordinator:
Setup and attend all EDSC BMS site Meetings (3 per year Feb, May & Nov).
Control changes to all DCN documents and records, check for integrity, version, revision, expiry, cited/citing documents and managing authority approvals in FileNet/MIDI and the Master Index.
Monitor the CAPA database ensuring that all actions are addressed in a timely manner.
Develop the EDSC Irvine site audit schedule for the onsite BMS audits.
Undertake auditor training.
Mentor the on-site Auditors throughout the business year.
Lead / co-ordinate/ host internal and external DQS audits on behalf of the EDSC site and in conjunction with the BMS site manager.
The ideal candidate will have:
Previous experience in a similar position, demonstrating ability to deal with telephone and personal enquiries with excellent organisation and communication skills with the ability to work with minimal supervision, and ability to plan own workload.
Successful candidates will be subject to background screening.
