Job Description

Role Purpose

The Brand Executive Lead supports the Business Unit (BU) by overseeing end‑to‑end promotional material processes, ensuring compliance, driving marketing operations excellence, and leading the Brand Executive (BE) team across Malaysia, Singapore, and Brunei. This role is responsible for smooth operational execution, material governance, event support, and cross‑functional coordination to enable timely and effective delivery of marketing objectives.

Key Responsibilities

1. Veeva PromoMats & Material Governance

  • Manage the full lifecycle of promotional materials, including job creation, reference checks, annotations, submissions, routing for medical, legal, regulatory, and compliance reviews.

  • Monitor and manage the digital/materials calendar; alert BU team on material expiry and initiate renewals when required.

  • Ensure all approved materials are accurate, compliant, and ready for internal/external distribution.

2. Product Information & Safety Updates

  • Update Selected Safety Information (SSI) and Patient Medication Guides in alignment with the latest approved Prescribing Information (PI).

  • Ensure promotional materials contain the latest PI and SSI content prior to deployment.

3. Marketing Material Inventory Management

  • Track and maintain inventory levels of promotional materials and Patient Medication Guides.

  • Monitor expiry and coordinate disposal and reprinting as necessary.

  • Oversee logistics and delivery of materials across markets, ensuring efficient use of office space and timely replenishment.

4. Regulatory Horizon Scanning

  • Conduct monthly monitoring of new global regulatory indications and provide timely updates to the team.

5. Meetings & Documentation

  • Prepare and distribute meeting minutes for key marketing and campaign discussions.

  • Support documentation needs for internal and external stakeholders.

6. Financial & Administrative Support

  • Liaise with office administration on purchase orders (POs), invoices, and expense tracking for marketing-led activities and materials.

7. Event & Campaign Support

  • Coordinate planning and logistics for internal meetings, external events, webinars, congresses, and public awareness activities.

  • Provide on‑site support during events when required.

8. Compliance & Audit Readiness

  • Ensure all business activities and materials adhere to relevant SOPs, industry codes of conduct, legal requirements, and internal ethical standards.

  • Support audit preparation, documentation, and corrective action follow‑up.

9. Leadership & Team Management

  • Lead and manage the Brand Executive team, ensuring smooth daily task flow and equitable workload distribution.

  • Reassign tasks proactively to prevent bottlenecks and maintain project timelines.

  • Oversee portfolio rotations, capacity planning, and coverage during leave periods.

  • Train and onboard new Brand Executives, including systems and process training (e.g., Veeva workflows).

  • Provide coaching, guidance, and ongoing development to team members.

10. Cross‑Functional & Regional Collaboration

  • Collaborate with Medical, Legal, Regulatory, Compliance, Global Medical & Scientific Affairs (GMSA), and agencies to streamline material review processes.

  • Participate in campaign development meetings, giving feedback on social, digital, HCP, and consumer-facing assets.

  • Support cross-country coordination for webcast materials, consumer programs, bulletins, handbooks, and operational activities across Malaysia, Singapore, and Brunei.

11. Commercial Operations & CARE Program Support

  • Gather insights from Sales teams and translate feedback into recommendations for future materials or campaigns.

  • Support Customer Support (CARE) programs, including call initiatives, tracking, follow‑up, and coordination for cross‑market execution.

12. Public Engagement

  • Host online public forums and educational sessions when required.

13. Ad‑Hoc Responsibilities

  • Perform additional duties as assigned to ensure BU operational continuity and business needs are met.

 

Qualifications

  • Bachelor’s Degree in Science or related field preferred.

  • Minimum 3 years of experience in marketing support, ideally within the pharmaceutical industry.

  • Strong administrative or office support background.

  • Experience in event planning with both internal teams and external vendors.
