Performs clerical and administrative tasks with a high degree of accuracy, including any combination of the following tasks: Process daily sales tickets, bank deposit; process special handling in billing for customers; data entry; perform as backup for selecting shippers, responding to voice-mail, and maintaining customer contacts while complying with all regulatory agencies and requirements including, but not limited to OSHA, FDA, ISO and Airgas regulations, policies and procedures.

ESSENTIAL DUTIES AND ACCOUNTABILITIES:

  • Safety and Regulatory Compliance

  • Demonstrates and ensures staff alignment with Airgas Safety Pledge and 12 Life Saving Rules.

  • Exemplifies, promotes and develops safe work behaviors.

  • Ensures all applicable regulatory (OSHA, FDA, EPA) requirements are met and applicable training and recordkeeping is performed to meet departmental and location deadlines.

  • Ensures compliance with all Specialty, Medical and Food Gas Standard Operating Procedures, SMS and ISO requirements.

Essential Functions:

The Administrative Assistant will be responsible for performing the duties of an Inside Sales associate.

  • Delivers CS2 behaviors to all internal/external customers.

  • Ensure all required paperwork is accurately completed; including coding, costing and pricing.

  • Maintains proper inventory levels with product shortages or outages.

  • Ensure all administrative and accounting related procedures are strictly observed.

  • Responsible for SMS checklists and duties per the SMS Manual.

  • Daily Responsibilities:

  • Process daily sales tickets (PGI)

  • Completes daily cash reconciliation and bank deposit;

  • Completes daily truck reconciliation and ship data; ● Completes daily receiving of goods;

  • Completes daily cycle counts

  • Reviews SAPcustomer ticket reports and corrects EDI pricing when necessary;

  • Files daily DOT paperwork.

  • Scandaily delivery tickets into Docuware and confirms imaging

  • Reviews daily invoice simulation report

Are you a MATCH?

EDUCATION and/or EXPERIENCE:

Administrative Certificate from an accredited technical school, college/university, or equivalent combination of education and experience.

COMPUTER SKILLS:

  • Basic knowledge of Microsoft Office applications (Word, Excel, PowerPoint, and Outlook)

  • Experience with SAP preferred.
