Morgan, Lewis & Bockius LLP, one of the world’s leading global law firms with offices in strategic hubs of commerce, law, and government across North America, Asia, Europe, and the Middle East, is seeking to hire a Billing Specialist.
Working directly with Partners under supervision, the Billing Specialist oversees all aspects of billing, monitors unbilled time and accounts receivable balances, and assists with proactive billing setup and client communication.
This position will reside in the Philadelphia office and offers a hybrid in-office/remote working schedule.
Key responsibilities include:
Support Partners by completing all aspects of billing for assigned clients and matters, under supervision.
Review matter setup to ensure compliance with rate agreements and outside counsel guidelines.
Identify reporting requirements for budgets, alternative fee arrangements, and accrual requests; coordinate with supervisor and Firm Finance as needed.
Review time entries for compliance with client and matter requirements (e.g., block billing, task codes, summer associate time).
Review cost entries and notify Partners of any issues.
Submit new timekeeper approvals for eBilled clients and communicate with clients regarding new matters or eBilling system requirements.
Complete billing for assigned clients and ensure successful submission of invoices through appropriate eBilling vendor systems.
Monitor eBilled submissions and assist in resolving invoice rejections, escalating issues as necessary.
Alert supervisor of past-due receivables and assist with resolution efforts.
Review monthly reports to identify overdue billing or collections and ensure timely generation of proformas.
Distribute month-end proformas to appropriate Partners.
With supervisor support, contact new clients to review billing and payment procedures and coordinate special requests.
Assist new Partners with client agreement review, rate setup, billing procedures, and required system configurations.
Demonstrate sound judgment, diplomacy, and professionalism when executing Partner requests and interacting with team members and senior management.
Maintain strict confidentiality of all financial and systems-related information.
Experience and qualifications:
Bachelor’s degree from an accredited four-year college or university; accounting or financial background preferred.
Proficiency in Microsoft Outlook, Word, Excel, and PDF software.
Strong written and verbal communication skills with solid mathematical aptitude.
Detail-oriented, highly organized, and customer-service focused.
Ability to work independently and collaboratively in a team environment.
