Job Description Summary

The main purpose of the position is to provide administrative support to the PDS team in Germany, with a particular focus on organizing all invoicing for this team.

Job Description

Responsibilities:

  • Support in processing incoming invoices.
  • Preparation of outgoing invoices for national and international projects.
  • Working closely with the German team to ensure that the information in the database systems used matches the invoicing.
  • Ensuring that all information is available to enable invoicing before the deadlines (intercompany agreements, customer onboarding and accompanying documents).
  • Good understanding of the invoicing process from start to finish.
  • Initiating credit notes when necessary.
  • Assist in the creation of process documentation for key activities to support the training of new employees and, where possible, to meet audit requirements.
  • Communicate with external service providers and cooperation partners as needed.
  • Prepare and process travel expense reports

Requirements:

  • Bachelor's degree, preferably in finance, economics or accounting (or studies not yet completed), training in bookkeeping, accounting or relevant professional experience in this field.
  • Excellent spoken and written English skills
  • Good spoken and written German skills
  • Proven IT skills, confident use of MS Office applications (Word, Excel, Adobe).
  • Experience in working with databases.
  • Affinity for numbers and basic understanding of invoicing issues.
  • Friendly manner, sociability and the ability to communicate with people at all levels within and outside the company.
  • Strong organizational and planning skills and the ability to prioritize tasks promptly and confidently.
  • Ability to work under high pressure in a fast-paced environment.
  • Proactive work, both independently and in a team
