Your Responsibilities
1. Coordination of Bid & Tender Processes
- Collaborate with Sector Leads to verify Go/No-Go decisions for pursuits and ensure pursuits are recorded and updated in CRM systems.
- Coordinate with regional bid teams to manage timelines, deliverables, and inputs for bids and tenders.
- Track progress and ensure submission deadlines are met with high-quality proposals.
2. Proposal Strategy & Submission
- Support the development of bid strategies including scoping, fee structuring, and team composition.
- Compile and format bid documents, ensuring compliance with RFP requirements and brand standards.
- Liaise with sector, design, and project leads to gather content and confirm technical details.
3. Documentation & Record Keeping
- Create and maintain organised bid folders with full documentation from initial pursuit to final contract.
- Ensure accurate version control and secure filing of all submitted materials.
4. Cross-functional Support & Communication
- Serve as the central point of contact for all bid-related communication between internal stakeholders and external partners.
- Provide support for government-led tenders, including interpreting tender documents, coordinating inputs, and understanding risks and obligations.
- Assist in identifying suitable projects for pursuit through research and coordination with the Business Development team.
Pre-requisites and Preferred Qualifications
- Diploma in Business, Communications, Architecture, Engineering, or related field.
- Minimum 5 years of experience in bid coordination, proposals, or tendering roles—preferably in the architecture, engineering, or construction industry. Candidates with more experience will be considered for a senior role.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Adobe InDesign.
- Experience with CRM and document management systems eg Airtable, Power BI is an advantage.
- Excellent organisational and time management skills, with the ability to manage multiple priorities and deadlines.
- Strong attention to detail and ability to work under pressure.
- Proactive, solution-oriented mindset.
- Team player with a collaborative spirit.
- Comfortable working in a dynamic, deadline-driven environment.
