Back Office Administrator

We are currently seeking a Back Office Administrator to join our Operations team. In this role, you will ensure the efficient and accurate input of investor transactions, adjustment entries and reconciliation of client activity on internal systems against third party financial institutions. You will perform account balancing transfers and execute money movements, including the receipt or delivery of funds relating to investor account activities.

WHAT YOU WILL DO

  • Complete daily flattening in investor accounts upon review of integrity report. 
  • Complete daily transmission of bank files to execute a “Penny Test” between CI Investment Services Inc. (CIIS) bank and investor bank accounts.
  • Deposit incoming investor transfers, contributions, and corporate cheques. Ensure all cheque amounts are reflected in investor and corporate PARIO accounts through bookkeeping entries.
  • Coordinate all CIIS corporate banking activity through the RBC Express portal and execute various external payments and capital movements through key Bank Partners RBC/BMO.
  • Complete ad-hoc outgoing or incoming EFT and wires to/from the client’s financial institution. Ensure EFT in/out are reflected on both RBC Express payment activities reports, as well as internal Back Office systems (PARIO/BMS) via journal entries.
  • Process all cash and positions internal transfer movements between client accounts held within CIIS.
  • Collaborate with internal business units to ensure exceptional service is delivered efficiently and effectively to resolve any outstanding requests.
  • Liaise with external institutions to reconcile CIIS Canaccord accounts and RBC bank accounts; communicate with financial institutions to resolve outstanding funds and balances.
  • Manage, respond to, and process requests received through the internal “Back Office” mailbox and Salesforce within set SLA.
  • Book manual and COD trades, new issue allocations, as well as GIC and bond trades.
  • Validate end-of-day cash positions within various banking accounts to ensure there is enough cash to support all expected debits.
  • Perform end-of-day procedures: Upload Foreign Exchange and allocation trade files, extract dividend, and bookkeeping files for processing, run validation, and trigger end-of-day processes.

WHAT YOU WILL BRING

  • Undergraduate degree in Business, or relevant field of study
  • At least 1 year previous experience in a similar capacity is preferred
  • Completion of CSC, CPH or other related courses an asset
  • Experience with CDS, ATON and/or DTC an asset
  • Strong communication skills, both verbal and written 
  • Proficient with MS Office Suite (Word, Excel, and Outlook)
  • Self-initiated, fast learner with a positive attitude
  • Organized, detail oriented, and hardworking character
  • Ability to work in a fast-paced and challenging environment.

This role follows our in‑office work model and requires employees to be onsite four days per week to support collaboration and business needs.

This opportunity is for an existing vacancy with the company. The anticipated base salary range for this position is $34,320 to $58,500. Exact salary depends on several factors such as experience, skills, education, and budget. Salary range may vary based on geographic location. In addition to base salary, this position is eligible for participation in a bonus program.
