Position Summary:
We are seeking a highly organized and detail-oriented AVP, Corporate Services to join Oaktree’s EMEA & APAC Workplace Services team. This role will support a broad range of activities for Oaktree’s EMEA and APAC offices, including managing facilities for our Hyderabad office, managing projects including new office fit outs, lease negotiations, coordinating legal processes, and working cross-functionally with internal departments. The ideal candidate will bring strong analytical, organizational, and communication skills, with a proven ability to manage complex negotiations and deliver successful project out comes.
Key Responsibilities:
1. Facilities Management - Hyderabad
Oversee facilities management for the Hyderabad offices.
Serve as the primary point of contact for all Hyderabad building management, maintenance issues, and landlord communication.
Ensure high operational standards across office floors, hospitality services, and general workplace experience.
Manage vendor and service provider relationships to maintain and enhance office operations.
Work with Corporate Services leadership on facilities projects, including refurbishments and new office fit-outs.
Develop and implement maintenance and compliance strategies aligned with safety and regulatory standards.
Assist in regional space planning, build-out plans, and tracking of lease documentation
2. Vendor & Supplier Management
Own key Corporate Services vendor relationships, ensuring strong performance and adherence to service-level agreements.
Maintain, with Legal, a comprehensive database of supplier contracts.
Lead annual supplier reviews and manage cleaning, maintenance, and operational vendor schedules.
3.Project Management
Partner with Workplace Strategy, design firms, and external project managers to deliver real estate projects on time, within budget, and to defined quality standards.
Support change management and communication strategies for workplace transitions.
Analyze lease packages and project documentation to ensure alignment with business goals.
Maintain project management systems to ensure accurate reporting of milestones, documents, dependencies, and deliverables
4. Health & Safety, Business Continuity & Disaster Recovery
Establish and maintain Hyderabad office Health & Safety policies, ensuring compliance with statutory regulations.
Manage and certify First Aiders and Fire Wardens for the office.
Serve as Hyderabad’s liaison to the global Business Continuity team in Los Angeles
5. Real Estate Leasing & Lease Administration
Contribute to long-term real estate strategy across EMEA & APAC, aligned with growth plans, cost optimization, and employee needs.
Gather and analyze documentation including lease agreements, market analyses, and regulatory requirements.
Track key dates, obligations, and critical milestones in regional lease administration systems.
Collaborate closely with internal and external legal counsel during lease negotiations and transaction execution.
Manage communication with landlords and legal representatives throughout lease lifecycles
6. Cross-Functional Teamwork
Collaborate effectively with departments including Workplace strategy, Technology Services, Tax, Treasury, Accounts Payable, and Corporate Accounting to ensure seamless integration of real estate activities with broader business groups.
Facilitate efficient communication and coordination across functions to support real estate transactions and project goals
Qualifications:
Bachelor’s degree in Real Estate, Business Administration, Finance, or a related field.
Minimum of 12 years of experience in corporate real estate, lease negotiation, and project management.
Strong understanding of real estate law, lease structures, and financial principles.
Excellent analytical, organizational, and interpersonal communication abilities.
