Job Description
The Complex Commercial Litigation Attorney Support Assistant provides attorneys and clients with a high level of administrative, technical, and litigation-focused support in a fast-paced, high-performance legal environment.
Primary Responsibilities and/or Essential functions:
- Provide comprehensive administrative support to complex commercial litigation attorneys, including email, calendar, and contact management; travel coordination; event planning; and meeting logistics.
- Prepare and submit expense reports and process invoices using Firm-approved expense and billing systems.
- Draft, edit, proofread, and format litigation documents, including pleadings, discovery, correspondence, presentations, and spreadsheets, using Microsoft Word and related applications.
- Prepare discovery shells and generate Tables of Contents and Tables of Authorities prior to filing; apply advanced legal formatting and perform accurate document conversions.
- Prepare and coordinate litigation pleadings and court filings for attorney review and submission in compliance with California state and federal court rules, including research and application of applicable local rules as needed.
- Coordinate deposition logistics, including vendor scheduling and preparation of subpoenas for service.
- Open new client matters and respond to administrative projects and special requests as assigned.
- Assist attorneys with California State Bar compliance, including annual renewals, MCLE tracking, and related administrative requirements.
- Maintain organized work areas and effective filing systems; coordinate file retrieval and transfers with the Records Department; maintain contact lists and desk profiles.
- Collaborate with other attorney support assistants to share coverage and ensure consistent support for assigned attorneys, including coverage during absences.
- Perform additional responsibilities as assigned.
Knowledge, Skills & Abilities:
- Minimum of 5 years’ experience in a law firm environment with direct, substantive experience supporting complex commercial litigation practices.
- Strong executive administrative skill set, including the ability to manage competing priorities, exercise sound judgment, work independently, and make decisions on behalf of attorneys.
- Advanced proficiency in legal specific Microsoft Suite and Windows programs.
- Working knowledge of DTE, DeskSite, and Chrome River preferred.
- Demonstrated ability to prepare discovery shells and Tables of Contents and Authorities prior to e-filing (preferred).
- Interest in learning and leveraging new technology, including AI tools, and willingness to share knowledge with others.
- Excellent written and verbal communication skills with strong attention to detail.
- Strong interpersonal skills with the ability to work effectively with diverse personalities in high-pressure environments, while maintaining a strong client-service focus.
- Flexibility to work overtime and weekends as business needs require.
- Ability to maintain confidentiality and handle sensitive information with discretion.
Education/Certifications:
- Bachelor’s degree preferred.
Estimated hourly rate is $57.69 - $68.68 ($105,000 - $125,000 annually). This position is overtime and bonus eligible. Compensation decisions within the range are dependent on the facts and circumstances of each case including but not limited to the individual's skills, experience, and qualifications.
