The Role

We are seeking a dynamic and enthusiastic individual to join our Facilities team as an Associate, Reception and Facilities.  As Associate, Reception and Facilities, you’ll be the driving force behind our welcoming, efficient, and vibrant workspace ensuring every visitor and team member feels supported and valued. Your organizational skills will be instrumental in shaping the daily experience of our NYC office.

This is a full-time onsite role based out of our HQ at 55 Hudson Yards; 8 AM - 5 PM.

How You'll Help Take Us There

Front Desk Leadership & Guest Experience

  • Be the face of our office: greet guests, manage check-ins and create a memorable first impression
  • Coordinate guest logistics: coat check, bag storage, conference room escorts and refreshments
  • Liaise with building security and adhere to protocols while ensuring seamless visitor access
  • Answer and direct incoming calls including sales and vendor communications

Office Operations & Administrative Excellence

  • Manage mail, packages, and FedEx shipments with precision once they are delivered to reception
  • Take ownership of office supply inventory, business card orders and some pantry stock; keep our workspace running smoothly
  • Reserve and prepare conference rooms for meetings and events, including setup and light cleanup
  • Maintain accurate facilities records and support data entry for operational efficiency

Facilities Management & Team Collaboration

  • Monitor and maintain the cleanliness and presentation of all guest areas
  • Proactively report and resolve facilities issues (lighting, HVAC, plumbing, furniture, equipment) in partnership with building management, vendors and the Facilities team
  • Track facilities tickets and follow up to ensure timely solutions using various systems including but not limited to, Microsoft Teams
  • Support office moves, new desk setups and workspace transitions
  • Oversee inventory of cleaning and copy room supplies
  • Champion safety protocols, visitor procedures and emergency preparedness

Event & Project Support

  • Play a key role in planning and executing in-office events e.g. handling logistics, setup and breakdown
  • Provide hands-on support for ad-hoc projects led by the Facilities team

What We’re Looking for 

  • 2+ years of experience in office administration, reception or facilities support
  • Proficiency with Microsoft Office Suite and everyday office technology
  • Exceptional organizational skills, attention to detail and the ability to juggle multiple priorities
  • Discretion and professionalism in handling confidential information
  • Friendly, professional demeanor and a passion for customer service
  • Self-starter who thrives both independently and as part of a collaborative team
  • Reliable, adaptable and resourceful problem-solver
  • Strong time management and task prioritization abilities

For job positions in NYC, NY, and other locations where required, the estimated salary range for a new hire into this position is $60,000 USD to $75,000 USD. Actual salary may vary depending on job-related factors, which may include knowledge, skills, experience, and location. You may also be eligible for annual cash incentives, equity, and other benefit programs.
