About the Role

This entry-level role involves managing journal administrative tasks, coordinating on-site and online Editorial Board meetings, updating Journal Home Pages, and communicating with Editorial Board Members. You will generate reports, collect data, and support external partners like Societies and Editors-in-Chief. Additional duties include processing invoices, creating certificates, and other ad hoc requests. You will join a global team, participate in projects, and support PAC initiatives. Candidates should have strong organizational and communication skills, attention to detail, teamwork, and proficiency with online systems, while understanding data privacy and AI concepts.

Responsibilities 

  • Editorial Board meetings: Coordinating logistics for virtual and in-person Editorial Board meetings including invitations, booking locations and facilities for attendees, and providing reports. Ensuring a professional and seamless experience for all.

  • Editorial Board administration: The PAC team are responsible for the accurate and compliant maintenance of Editorial Board data. They will also use the designated system for agreed and GDPR compliant communication with the Journal Editors.  The PACs will also help with ethical checks on new Editorial Board Members following internal guidelines.

  • ·Journal Home page updates: Maintenance of Journal Home Page information, such as the Guide for Authors, Aims and Scopes, Announcements and News items, using various systems for the updates, according to agreed policies and standards.

  • Reports:  Preparing reports at the Publishers request, primarily using dashboards and/or requesting data from the data analytics team. Accuracy and attention to detail are needed to find the data and combine into readable reports for both internal and external stakeholders.

  • Ad hoc requests: A variety of ad hoc administrative tasks at the request of the publisher or Journal Editor, such as sending invoices for payment, preparing certificates, arranging access to systems, and sourcing occasional gifts/awards.

  • Champion group: You will be part of the PAC OneNote Resource Centre Moderators group; This is a repository of information for PACs including instructions, and information on procedures, processes and systems. It also links to other resources and is a primary source of information relevant to PACs.  The PAC OneNote Resource Centre Moderators group are responsible for monitoring and keeping it up to date.

  • Professionalism, organizational skills and attention to detail.

  • Proficiency in technical tools and ability to learn new systems quickly.

  • Good English communication skills, both spoken and written, and customer focus to be able to work with multiple stakeholders, both internally and externally.

  • Results orientation, proactive approach to problem-solving and focus on achieving set objectives.
