Position Overview

The Associate Project Coordinator will work alongside the Project Manger and be a key resource supporting the Internal Evaluation projects and Clinical Research projects. They will work with team members to setup, coordinate and maintain project schedule, help set goals, and work with the Project Manager to determine what elements are needed to complete the Internal Evaluations and Clinical Research projects. They will then oversee the moving parts of the project to ensure that it stays on schedule. Project Coordinators track project tasks progress, coordinate cross functional teams, order supplies, schedule meetings and process payments related to the project.

 

Responsibilities

  • Maintaining and monitoring project plans, project schedules, and resource plans for Internal   Evaluations.
  • Preparing presentation materials for meetings and providing post meeting summaries to stakeholders.
  • Providing administrative support as needed.
  • Facilitate approval of project deliverables.
  • Tracking and timely escalation of project risks and issues to Project Manager and cross functional stakeholders
  • Support project task assignment to relevant parties and check in for status updates for IE activities
  • Assisting project managers with developing and maintaining project performance databases that track overall progress
  • Coordinate aspects of the internal evaluation studies including
    • Identify and recruiting potential participants
    • Informed consent discussion
    • Training of participants
    • Preparation of device kits
    • Processing compensation of internal evaluation participants
    • Prepare evaluation documentation and maintain databases
  • Support other clinical study activities within the department as needed
  • Willing to come into Acton as needed to support the evaluation efforts

Required Leadership/Interpersonal Skills & Behaviors

  • Action oriented self-starter who can drive project tasks and work with limited supervision
  • Strong verbal, written and presentation skills
  • Ability to work effectively both independently and as part of a team

 

Required Skills and Competencies

  • Proficient in use of Microsoft Excel, Word, and PowerPoint
  • Strong organizational skills, including multitasking and time management
  • Ability to work in a fast-paced environment with multiple teams, on concurrent projects
  • Ability to review project deliverables for completeness, quality, and compliance with established project standards

 

Education and Experience

  • Bachelor's Degree required
  • 0-2 years of project coordination or support experience
  • Prefer experience in a GMP/FDA regulated environment or other regulated industry
  • Prefer experience using project management software (MS Project, Smartsheet, Jira, etc.)
  • Prefer experience working with cross-functional teams and remote teams.  Ability to come into Acton office

Additional Information

  • The position can be hybrid or in-person at our Acton Office. The preferred location is Acton.
  • Travel is estimated at 10% but will flex depending on business need.

Compensation & Benefits: For U.S.-based positions only, the annual base salary range for this role is $26.00 - $39.50 This position may also be eligible for incentive compensation.
