Assistant Site Services Manager

You'll work as ASSM Soft services, reporting into the Site Services Manager.

In this varied role, your responsibilities will include but are not limited to:

  • Assist Site Service  Manager  in service delivery in accordance with client KPIs and SLA

  • Monitoring of Housekeeping related activities

  • Arrangement of all consumables and supplies for Client / any visits

  • Preparing the Daily/Weekly and Monthly reports

  • Interacting with the service & supply vendors.

  • Undertake daily facility rounds and find out snags and raising proactive tickets for the same

  • Effectively manage service provider team to ensure an on time deliverable system.

  • Routinely Inspect all services to ensure performance measures are being maintained and make the service score cards.

  • Indenting the requirements with suppliers.

  • Pest control management.

  • Indoor plant management

  • Conduct weekly physical inventory for stock management and raise IMT requests

  • Monitoring Helpdesk tickets for closure. Ensure all tickets assigned to you are included in the guts tracker.

  • Share 2 min Helpdesk survey form to users and take corrective action on the users feedback, randomly meet users on a daily basis to understand the facilities services

  • Track Staff attendance through VMT tool

  • Coordinate  & support office renovation and refurbishment activities

  • Support site service manager to forecast the regular & monthly spends for the month and adhere to the same

  • Support in procurement process for regular and ad hoc soft services activities

  • Keep a track of contract renewals and support site service manager for the renewal process for principle vendors

  • Coordinate with the vendor’s to receive monthly invoices on time.

  • Coordinate for quarterly NDC’s for principle and non principle vendor.

  • Provide a training to the onsite team equipments procedure & implementation

  • Recommend continuous quality improvement practices

  • Any responsibility/ task given by the client/ Manager, going forward will be part of the JD

Property Operations:
  • Risk Management

    • Ensure full compliance with all local and governmental regulations and legislations

    • Site Lead in ensuring site risk management programs including audits are implemented and maintained

    • Adhere to escalation and incident reporting procedures 


  • People Management/ Engagement

    • Ensure high staff morale, trust and work ethics

    • Coordinate with the Site lead - on the implementation of FM Procedures and train FM staff

    • Ensure an environment that supports teamwork, co-operation and performance excellence within team


  • Client/Stakeholder Management 

    • Proactively engage stakeholders to ensure that on site client’s expectations are met though high levels of customer service

    • Build and develop effective client / stakeholder relationships across multiple levels of the organization

    • Provide a cooperative environment with client and customers, ensuring  high levels of engagement

    • Provide a positive environment where things do get done; providing flexibility and understanding how to say no, while still providing a service 

    • Proactively understand the customers/ employees needs and act on them before being requested


  • Finance Management

    • Assist Site Lead on preparation of site operational budget for the financial year

    • Assist Site Lead to Forecast of monthly & quarterly expenses

    • Adherence to the budget forecast and spend.

    • Invoice management.


  • Procurement & Vendor Management

    • Ensure vendors are well-managed, delivering services on time and within budget

    • Understand the vendor procurement processes comply with agreed client procurement guidelines as well as JLL best practices


  • Other Key Activities

    • Managing New Hire Orientation program on behalf of Client

    • Assist Site Lead preparing monthly Facility Newsletters

    • Assist Site Lead in Developing interesting & fun user engagement activities

Education and experience

Any Bachelor’s degree may apply with a minimum of 2+ years’ experience in Facility Management. A working knowledge of any major vertical industry will also be very helpful.  

An eye for detail 

You’ll have an eye for detail and an ability to analyse qualitative and quantitative information – and translate this into strategic deliverables.  

Great organisational skills

You’ll have great time management and organisational skills, and be good at meeting deadlines in a fast-paced work environment and adapting to your team’s or client’s changing requirements.
