OVERVIEW

The Assistant Project Manager – Global Operations & Construction will support the Manager of Global Operations in London and assist with the coordination of construction, renovation, and operational projects across international offices. This role plays a key part in maintaining project organisation, communication, and execution support across time zones and teams. The ideal candidate is detail-oriented, resourceful, and thrives in a fast-paced, collaborative environment.

RESPONSBILITIES

  • Project Planning and Execution: Assist with creating project plans and schedules, track progress, and manage the day-to-day operational aspects of multiple projects

  • Stakeholder Coordination: Act as a liaison between the project manager, consultants, subcontractors, and internal teams

  • Documentation & Reporting: Maintain accurate project documentation, trackers, and files; prepare presentations and reports; assist with progress updates and budget summaries; support data organisation across SharePoint and internal systems.

  • Budget and Cost Control: Assist in managing project budgets, budget reconciliation, tracking costs, and identifying financial issues

  • Communication Liaison: Liaise between the LA office and the London-based Global Operations team; help streamline communication and ensure follow-ups are tracked. Facilitate effective communication among project team members and stakeholders, and support meetings

  • Risk and Quality Management: Help with risk mitigation, ensure compliance with company policies, and monitor quality control processes

  • Vendor & Contractor Support: Coordinate with external partners and vendors on scheduling, deliverables, and document collection

  • Operational Support: Help monitor facility needs, organise site visits, schedule meetings and support day-to-day operational initiatives as assigned

  • Administration Support: This includes but is not limited to calendar management for the Manager of Global Operations, helping to schedule and coordinate meetings, taking and distributing minutes from meetings (both local and international), organising and maintaining the global SharePoint, managing access for consultants etc.

  • Project Management: Develop an understanding of the project lifecycle, including key stages such as due diligence, briefing, design coordination, procurement, construction, and handover, in order to better support consultants and internal stakeholders.

QUALIFICATIONS/REQUIREMENTS

  • Degree or equivalent experience in Business, Project Management, or related field

  • Awareness of industry themes: (e.g., sustainability/ESG considerations, modern construction methods) and be able to incorporate this understanding into project coordination and reporting.

  • Experience in a project coordination or support role, ideally within construction, real estate, or operations.

  • Excellent organisational skills and attention to detail, with the ability to manage multiple priorities across regions

  • Strong written and verbal communication skills with a professional, polished demeanor

  • Proficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint) and familiarity with project tracking tools.

  • Exposure to formal project methodologies (Agile, Waterfall, or Prince2).

  • Comfortable working independently while collaborating with global partners.

  • Proactive mindset with strong problem-solving abilities and follow-through.

  • Experience supporting construction, facilities, or real estate projects is preferred.

  • Familiarity with financial tracking and vendor management is preferred.

  • Interest in global operations and cross-functional teamwork.
