Our Houston office is seeking an experienced Assistant to provide high‑level support to attorneys and assigned team members. This role is best suited for someone who brings 5–10 years of experience in a legal or professional services environment and is comfortable managing complex workflows, exercising sound judgment, and working independently in a fast‑paced setting. Strong knowledge of legal processes, attention to detail, and a service‑oriented approach are essential.
Key Responsibilities
- Manage attorneys’ calendars, including complex, multi‑time‑zone scheduling
- Serve as a primary point of contact for clients, maintaining a professional and responsive presence
- Triage and manage attorney emails and calls, proactively reducing administrative burden
- Open new matters, prepare engagement letters, and coordinate conflict checks
- Enter, edit, and close attorney time entries; prepare expense reports
- Handle monthly client billing, including e‑billing, proforma review, budget tracking, and client inquiries
- Prepare, format, proofread, and process legal documents in accordance with Firm standards
- Maintain client and matter records, including coordination with Records for filing and retrieval
- File legal documents with state and federal courts (e‑filing experience required)
- Prepare audit letter responses and quarterly Lobbying Disclosure Act reports
- Coordinate travel, meetings, video conferencing, and related logistics
- Provide backup and overflow support as needed
- Maintain strict confidentiality of all Firm and client information
Qualifications
- Minimum of 2 years of administrative experience required but 5–10 years of administrative experience supporting attorneys or senior professionals highly preferred
- Prior experience in a large law firm or professional services environment strongly preferred
- Strong understanding of legal terminology, procedures, and documentation
- Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
- Excellent organizational, communication, and time‑management skills
- Ability to work independently, manage competing priorities, and meet deadlines
- Billing and electronic billing experience required
- Associate’s or Bachelor’s degree preferred; MOS certification a plus
Hours
Monday–Friday, 9:00 a.m. to 5:30 p.m., with flexibility to adjust schedule and work additional hours as business needs require.
