What will your day look like?

In this role your main missions are:

Provide optimal assistance to the team assigned.

• Coordinate complex calendar management by being a "gatekeeper", creating win-win situations for direct access to the senior management members and maintaining a strong working relationship with other managers.

• Coordinate and manage travel: develop complex, detailed and organized travel itineraries and agendas as well as compile documents for travel-related meetings. Complete and process expense reports and Invoice.

• Staff management: absences, onboarding and welcoming new arrivals, access etc.

• Planning, organization and follow-up of meetings for the teams.

• Management of invoices and accounting statements in the accounts department, follow-up to the team’s travel budget.

• Organize events, off-sites, team meetings including managing budgets and deadlines and general event/coordination activities. Support on admin tasks for the pool of assistants.

• Support on logistic aspects for People events like community days/ New Year Party / Family Day/ All Staff / RMTea breakfast…

• Support on internal communication (townhalls, email templates…)

• Create and follow-up POs for invoices

• Serves as back up for key admin tasks for other functions

What we are looking for

The Must Haves:

• You have at least 2 years of experience in a similar role.

• You’re an active listener and learner, you possess strong critical thinking, attention to detail and time management skills

• You’re curious, proactive, multitasker, detail oriented and always willing to go the extra mile.

• You’re team player, collaborative, flexible, adaptable, and eager to learn.

• You’re skilled at coordination, instruction, negotiation, service orientation and social perceptiveness

• You’re solution-oriented, with a strong sense of confidentiality

• You are fluent in English and Spanish

• You have experience in international environments, having worked with managers from different

nationalities and roles

• You have excellent interpersonal skills, and you are willing to spread energy and positive mindset around the organization

• You master the tools: Office Package (Excel, Word, PowerPoint, Outlook), Canva, SAP
