Major Duties:

  • The position assists the Catering Manager in Club Iwakuni. Assistant Catering Coordinator in an SNCO, or Officers club to ensure high standard catering services. In coordination with Catering Manager, organizes and coordinates various catering and special events including off-site catering banquets such as; membership affairs, command functions, cultural events, balls, etc. Meets with clients, discusses requirements for events such as date, number of guests, occasion, and explains services offered, i.e., room, decorations, menu, entertainment, etc. Coordinates and communicates with kitchen and wait staff on the arrangements of each event including menus. In support of Catering Manager, prepares contracts and obtains clients' signature, etc. Receives schedules of banquet or arrangements of related activities on a weekly and/or daily basis. Reviews the scheduled functions to ascertain that required preparations are made, to include proper staffing, room arrangements, supplies and equipment. Handles any change orders promptly and correctly. Implements all catering booking strategies to maximize the profitable utilization of time and space in each function room or activity. Understands and follows catering procedures, ensuring timely communication is maintained and pertinent information is dispensed. Assists in checking and verifying work in progress ensuring procedures, methods and deadlines are met. Ensures quality in service, food and beverage products. Ensures that all work areas of the catering department are organized, well maintained and that all equipment and supplies are clean and stored in their proper places. Maintains private party logbook and contract files. Follows up with client evaluation of services rendered. May be required to verify accuracy of receipts at the Close of Business, complete and post function reports, as well as other reports deemed pertinent and distribute to appropriate department. Responsible for funds generated from all sources, their collection, reconciliation, recording, safeguard and deposit as directed by applicable policies and procedures. Assists in determining the need for replenishment of materials and obtains needed items in accordance with routine procedures and authorizes stock or supply levels and may make minor deviations in procedures and methods to overcome problems such as delays in the receipt of needed materials or equipment failure. Ensures that all security, sanitation, health, environmental, fire and EEO regulations are adhered to within areas for which responsible. Ensures that employees are appropriately dressed, neat and clean at all times and in compliance with sanitation regulations. Provides World Class Customer Service with an emphasis on courtesy. Assists customers and communicates positively in a friendly manner. Takes action to solve problems quickly. Alerts the higher-level supervisor, or proper point of contact for help when problems arise. Adheres to safety regulations and standards. Promptly reports any observed workplace hazards, and any injury, occupational illness, and/or property damage resulting from workplace mishaps to the immediate supervisor. Adheres to established standards of actively supporting the principles of the EEO program and prevention of sexual harassment. Performs other related duties as assigned.

Qualifications: Must be at least 20 years old AND have graduated from high school or been awarded a certificate equivalent to graduating from high school. (Valid documentation will be required at the time of application.) One year of experience which demonstrates knowledge and understanding of food service, hospitality, event-planning, and/or a catering certification from an accredited institution or training. Demonstrate knowledge of standardized club or catering facility operational practices and procedures, and pricing and ability to coordinate with all facets of the club operation. Skills necessary to assist customers in planning party functions. Ability to plan, organize and coordinate functions to provide the best in quality service to patrons, with a personal dedication to complete customer satisfaction. Ability to carry out responsibilities in an independent manner, working under pressure with limited supervision. Ability to prepare reports and complete simple contractual arrangements. Skill to deal courteously and effectively with customers, employees, and management. This activity is a Drug-free workplace.
