We are seeking a detail-oriented and proactive Business Support Administrator to support the Central Support Team, at Canterbury Bus Station. We are looking for someone who can work 25 hours per week across 5 days.

Job overview - this role exists to:

The Business Support Administrator (BSA) will have the important responsibility of organising and coordinating a wide range of daily office administrative tasks for the Central Support Team and wider business. This is a varied and fast paced role with a number of different business critical tasks requiring delivery.

Reporting to the Business Manager and in support of them, the BSA will be responsible for ensuring the delivery of a variety of Head Office administrative tasks, the relationship between our corporate ticket clients and Stagecoach, facilitating the monthly employee recognition process, managing monthly expenses and credit card statements for the Executive Team and undertaking the monthly ‘know your people’ additional business checks.

The ideal candidate for this role will be a people-focused and dedicated individual who is skilled in handling administrative and support-related tasks. They should be comfortable collaborating with both internal and external stakeholders to ensure successful outcomes.

Key accountabilities and competencies of this role are:

  • Facilitate the monthly PATH, Employee of the Month, Long Service and STOM process including creating invitations, and certificates for PATH and Long Service awards.
  • Oversee the 4 weekly ‘know your people’ belt and braces process.
  • Manage the South East Executive monthly expenses.
  • Maintain the PAYE Settlement Agreements process on a quarterly basis.
  • Deputise for the Business Manager, providing diary management support over periods of leave of sickness.
  • Process orders for corporate clients including ticketing orders, managing ticket stock and maintaining records of order sales.
  • Accurately record and produce minutes of meetings, ensuring key discussions, decisions, and action points are clearly documented.
  • Perform administrative duties including the processing of supplier invoices.
  • Maintain office supplies – ordering stationery.
  • Support the Business Manager in arranging travel for Exec Team (train, flights, taxi, hotels).
  • Any other reasonable requests by the Exec Team.

Key skills / characteristics for this role are:

  • A minimum of two years’ experience demonstrated in office management or administrative roles.
  • Excellent time management skills and ability to multi-task and prioritise work.
  • Good attention to detail.
  • Reacts quickly and positively to changing priorities.
  • Excellent written and verbal communication skills.
  • Strong organisational and planning skills.
  • Proficient in MS Office and general office systems.
  • Good interpersonal skills.
  • Able to work independently with little or no supervision.
  • Friendly, approachable manner.
  • GCSE English and Math’s Grade C or above (Grades 4 – 9) or equivalent.
  • Must show flexibility and be adaptable.
  • Able to portray role model behaviour.
