Hiring Salary: $23.84 - $29.80/hour

Position Information

The People’s Building is seeking an Administrative Specialist to oversee external communications, working closely with the Curator, to promote the organization’s events, programs, and community engagement. This part-time role (up to 25 hours per week) is responsible for creating and managing The People’s Building’s weekly newsletter, executing our social media strategy, managing ticketing systems, and collaborating with rental clients to ensure accurate event information is reflected across various platforms.

The Administrative Specialist plays a key role in maintaining consistent, effective communication between The People’s Building and our diverse audiences, ensuring our client communications reflect the vibrancy of the arts and culture we represent.

This is classified as a VHNE (Variable Hour Non-Benefited Employee), where the selected candidate will work less than 29 hours per week. This position does not provide medical benefits. This position earns sick leave in accordance with the Healthy Families and Workplace Act.

PRIMARY DUTIES & RESPONSIBILITIES

  • Drafts, designs, and schedules a weekly newsletter featuring upcoming events, artist highlights, and community news.

  • Coordinates with the Curator and rental clients to ensure content is timely, accurate, and engaging for our audience.

  • Oversees and implements the social media strategy for The People’s Building, promoting events and building engagement on Instagram and Facebook.

  • Ensures daily posts, including event promotions, behind-the-scenes content, and community stories, to maintain an active and engaging online presence.

  • Works closely with our ticketing vendor to resolve any issues that may arise, ensuring smooth ticket sales and user experience.

  • Collaborates with rental clients to collect all necessary event and ticketing information, including show dates, times, ticket types, and any special discounts or promotions.

  • Updates The People’s Building website with each show's ticketing page, ensuring it reflects accurate and up-to-date information for patrons.

  • Regularly updates and maintains the ticketing page on The People’s Building website, ensuring event information is current and tickets are available for sale.

  • Supports website content management, making sure all information is accurate and up to date for public viewing.

  • Assists with additional marketing and communications tasks as needed, including writing content, creating promotional graphics, concessions work, district communication, and coordinating special projects.

  • Performs other related duties as assigned

MINIMUM QUALIFICATIONS & WORKING CONDITIONS

An equivalent combination of education, training, and experience that demonstrates required knowledge, skills, and abilities may be considered.

Education: 

  • High school diploma or equivalent (GED) required.

Experience: 

  • Proven experience in communications or a related field.

  • Experience with ticketing vendors

  • Preferred experience with the current ticketing vendor Thundertix.

Skills: 

  • Excellent writing, editing, and proofreading skills.

  • Proficient with social media platforms (Instagram, Facebook) and content scheduling tools.

  • Familiar with website management tools (e.g., WordPress) and basic HTML.

  • Basic video editing skills

  • Strong organizational skills, with the ability to manage multiple tasks simultaneously.

  • Creative and collaborative, with the ability to work both independently and as part of a team.

  • Passion for arts, culture, and community.

Abilities: 

  • Establish and maintain effective working relationships with employees, all levels of management including executive staff, citizens, and elected officials

  • Handle sensitive situations with tact and diplomacy

  • Communicate effectively both orally and in writing

  • Creatively solve problems, negotiate and handle stressful situations in a positive manner

WORKING CONDITIONS

Essential Personnel:

  • When a local announcement of emergency or disaster is declared by the City, all City of Aurora employees may be required to work as essential personnel.

Physical Demands:

  • Sedentary physical work that involves moving no more than 10 pounds at a time

  • Clear vision to read and interpret reports and other written documents

  • Speech communication and hearing to maintain communication with employees and citizens

  • Hand/eye coordination for operation of computer keyboard

Work Environment:

  • Primarily remote work, with occasional in-person meetings at The People’s Building for content creation and coordination.

  • Part-time, up to 25 hours per week, with flexibility in scheduling.

Equipment Used:

  • Uses standard office equipment including personal computer and common office software such as email, internet, Word, Excel, etc.

  • This position may require the incumbent to use personal equipment (e.g. vehicle, cell phone, tools, etc.) in the course of their employment.
