What we are looking for:
As the AS2 you will assist the Tillamook Forest Center (TFC) Director in the on-going daily operations and strategic direction of the Visitors Services area, the Center Gift Shop, and provide recommendations on the overall operations using data and analysis regarding trends and knowledge of laws, rules, policies and procedures as they pertain to mission critical work of the Agency. This position requires working at the Tillamook Forest Center with a Wednesday – Sunday schedule from March – November from 8 am – 4:30 pm and 9 am – 5:30 pm during the summer. An alternate schedule is available December – February.
Duties Include:
- Provide frontline information and assistance to visitors to the Tillamook Forest Center including the broader Agency’s mission and goals.
- Interpret complex regulatory guidelines around active forest management, recreation management, fire prevention and resource protection.
- Fee collection, cash handling and credit card sales, and state purchasing and procurement processes.
- Verify time code entries in Workday, processing limited personnel actions related to new hire paperwork and onboarding tasks, vendor service contracting, and purchasing.
- Assist TFC Director with budget tracking and planning.
- Provide functional administrative support to the State Forests Trust of Oregon (SFTO).
- Use MS Office Suite, including Word, Excel, and payroll software.
- Works in a team environment requiring cooperative interactions among employees.
- Responsible for serving as a lead for volunteers and working closely with the Visitor Services Specialist
Minimum Qualifications:
Three years of secretarial or administrative support experience that includes coordinating office procedures, preparing narrative and statistical reports, and administrative data collection and analysis.
OR
An associate degree in general office occupations and two years of secretarial or administrative support experience that includes coordinating office procedures, preparing narrative and statistical reports, and administrative data collection and analysis.
OR
An equivalent combination of education and experience.
Note: Driver’s License Check - This position requires the operation of a state vehicle for the purpose of conducting official State business. If your license is from outside Oregon, you must submit at least a three-year court/DMV printout. If you have an Oregon driver’s license, a record check will be conducted on the top candidate to ensure a valid license and acceptable driving record.
Note: Required to submit information to Oregon State Police for an offender record check.
Desired Skills:
- Must hold certificate as a Certified Interpretive Host (CIH) or obtain within one year.
- Skill in communicating with people from diverse viewpoints to resolve issues and explain rules.
- Requires technical knowledge of agency rules and processes to assist the public.
- Superior customer service skills—resolving issues and complaints, problem-solving with visitors and vendors.
- Merchandising, retail experience (including product ordering and pricing)
- Meets deadlines.
- Attention to detail.
- Strong writing skills, reading comprehension, ability to learn and remember..
- First Aid/CPR certificates (recommended but not required).
