Job Description
Functions as the Administrative Manager, Business Operations and reports directly to the Administrator, in the Department of Radiation Oncology; directs and manages administrative operations of the department, including human resources, and administrative affairs activities and functions; supervises and monitors day-to-day activities of department administrative staff and students; provides technical and administrative guidance and coordination to ensure support staff activities and workflow processes are handled in an efficient and timely manner; manages all recruitment and hiring of administrative staff; hires and assures appropriate training for employees that provide faculty support services; administers and manages performance management activities; plans, assigns and monitors individual workloads and completion of work activities; ensures appropriate staffing levels; evaluates, identifies and makes recommendations for changes in staff numbers or structures; serves as the primary department contact for credentialing, onboarding and offboarding physician and faculty;; oversees departmental general contracts, including those related to the training center and works with Research contacts to create contracts for Research Faculty; demonstrates effective communication, problem solving, and conflict resolution skills; promotes teamwork; participates and assumes leadership role for department-wide projects, including project management and process improvement activities; acts as department Human Resources Action (HRA) initiator; serves as liaison with university offices, faculty, staff and outside agencies; manages, processes, and monitors visa applications and related documentation for international faculty and staff; serves as primary department contact for immigration attorneys for permanent residency petitions based on labor certification for employees; by way of support staff, oversees/monitors the applicant experience for all faculty recruits; organizes recruitment events, creates/manages interview itineraries and assures timely candidate communication; actively participates in all faculty affairs activities, including recruitment of faculty and distinguished researchers; participates in onboarding newly hired faculty and staff; serves as a liaison between faculty and staff; oversees departmental compliance programs; other duties as assigned.
MINIMUM REQUIRED QUALIFICATIONS
Bachelor's degree or equivalent experience. 3 years of relevant experience required. 4-8 years of relevant experience preferred.
30% Supervises and monitors day-to-day activities of department administrative staff and students; provides technical and administrative guidance and coordination to ensure support staff activities and workflow processes are handled in an efficient and timely manner; hires and assures appropriate training for employees that provide faculty support services; administers and manages performance management activities; plans, assigns and monitors individual workloads and completion of work activities; ensures appropriate staffing levels; evaluates, identifies and makes recommendations for changes in staff numbers or structures
20% Manages administrative projects across all three mission areas (clinical, re search, academic), related to contracts and agreements, including but not limited to the hospital, department, faculty, CCC and the OSU-P and those specific to the training center.
25% Development of recruitment and onboarding processes for new faculty and staff including being a resource for staff and faculty seeking VISA’s and other activities requiring HR commitment, including working with the Chairman and administrator to research and propose adjustments to faculty salaries including for the Physics group. Serves as the primary department contact for credentialing, onboarding and offboarding of physicians and faculty. Takes point in tracking and entering job requisitions.
25% Actively participates in all faculty affairs activities and monitors the applicant experience for all faculty recruits, including recruitment of faculty and distinguished researchers; participates in onboarding newly hired faculty and staff; serves as a liaison between faculty and staff; other duties as assigned.
