Job Description

Responsibilities:

-Coordinates general administrative support functions.

-Monitors office procedures. Develops, evaluates and ensures adherence to office procedures.

-Serves as assistant to a department head. Manage schedule, calls and appointments.

-Coordinates travel arrangements and reimbursement for department head.

-Coordinates meetings, seminars and other departmental events (including agendas and minutes) and may provide on-site support.

-Coordinates the retention of office records (digital and hard copies). 

-Coordinates the inventory and maintenance of office supplies and equipment.

-Serves as Department Parking Representative for Transportation Services and coordinates assignment and distribution of related permits.

-Provides solutions to recurring or unusual administrative problems.

-Supports the promotion and tenure committee chair with the faculty promotion and tenure process.

-Assists with faculty hires, reclassifications and reappointments, including entries in the Faculty Affairs portal.

-Maintains the contact database, employee directory and coordinates new hire additions to the -AgriLife People Directory and appropriate listservs.

-Assists the department head with reporting and faculty review process through lnterfolio 180 and/or similar software programs.

-Coordinates key control, visitor access and building access.

-Coordinates room/parking reservations and scheduling.

-Manages mail for the department.

-Other duties as assigned.

Required Education:

Bachelor's degree or equivalent combination of education and experience.

Three years of related experience.

Preferred Experience:

Previous experience at Texas A&M University

Knowledge, Skills, and Abilities:

Ability to multitask and work cooperatively with others.

Interpersonal and communication skills.

Planning and organization skills.

Knowledge of Microsoft products including Teams, spreadsheet, database and presentation applications.
