The Administrative Coordinator I, under general supervision, provides essential administrative support for the Mathematics Department and contributes to the smooth operation of academic and programmatic activities. This role exercises discretion and independent judgment on matters of significance while supporting faculty, students, and departmental initiatives.
Opportunities to Contribute
Oversees daily administrative operations by maintaining calendars, monitoring project timelines, coordinating records retention, and developing and maintaining office procedures.
Manages inventory and maintenance of office supplies and equipment and handles opening and closing of the main office, classrooms, conference rooms, seminar rooms, and meeting spaces.
Provides primary or backup administrative support to assigned functional areas, executive staff, and team members while researching and responding to inquiries about office procedures.
Coordinates logistical arrangements for travel, meetings, conferences, interviews, staff events, and special events, including compiling and distributing itineraries and schedules.
Ensures compliance with office policies and procedures by monitoring adherence, analyzing project requirements, and assisting in establishing procedures that meet regulatory standards.
Assists with content creation and maintenance for office and teaching‑related websites and supports exam processing and assessment platforms.
Supervises and trains student workers and support staff and assists in developing processes for student onboarding.
Supports the Math Placement Exam (MPE) program and the Precalculus Preparation Program (PPP) in collaboration with their respective faculty directors.
Assists faculty in ensuring course materials meet accessibility standards.
Answers the departmental main phone line and provides technical information on administrative procedures.
Coordinates logistical arrangements for travel, meetings, and events.
Qualifications
Bachelor's degree or equivalent combination of education and experience.
Two years of experience in office administration.
A well-qualified candidate for this position will also possess:
Ability to multitask and work cooperatively with others.
Knowledge of word processing, spreadsheet, database, and presentation applications.
Interpersonal and communication skills.
Planning and organization skills.
Salary: Compensation will be commensurate based on the selected candidate's education and experience.
