Position Information

The City of Aurora is seeking a skilled Administrative and Marketing Assistant for the Aurora Fox Theater. This position will perform general clerical, production, and customer service duties under the direction of the Aurora Fox Arts Center Executive Producer. The ideal candidate will have clerical, marketing, and/or graphic design experience and an interest in performing arts, music, technical theatre, or dance, and is driven to collaborate with the team to maintain operations and to achieve cohesive and successful production goals both in the public facing and back of house operations of a live theatre and performance venue.

As part of the City of Aurora Library and Cultural Services Division, the Aurora Fox Arts Center is a historic landmark located at 9900 East Colfax in the Aurora Cultural Arts District, and the city's performing arts center. The Aurora Fox utilizes two performance spaces, a 245 seat auditorium and a 73 seat Studio Theatre.

This is classified as VHNE (Variable Hour Non-Benefit Employee), where the selected candidate will work less than 29 hours per week. This position does not provide medical benefits. This position earns sick leave in accordance with the Healthy Families and Workplace Act. 

PRIMARY DUTIES & RESPONSIBILITIES

This position works with Production Management, Marketing, Box Office and Technical departments and performs a variety of duties including clerical, communication, and production tasks to support the operations of the Aurora Fox Arts Center. This role is an ideal opportunity to grow in a working theatre.

  • Assists Executive Producer and Aurora Fox staff with general administrative functions

  • Assists marketing with event calendars, social media, mailing, website updates, and interfaces with City of Aurora print services as needed.

  • Assists with Box Office duties during regular office hours

  • Designs and develops production playbills and other collateral

  • Aids with other production, box office and marketing needs

  • Performs other related duties as assigned

MINIMUM QUALIFICATIONS & WORKING CONDITIONS

An equivalent combination of education, training, and experience that demonstrates required knowledge, skills, and abilities may be considered.

Education: 

  • High School diploma or GED.

Experience: 

  • At least 1 year of clerical, media, marketing, or design experience.

  • Theatre experience is a plus.

Knowledge:

  • Knowledge of business English and math

  • Knowledge of personal computer, hardware, and related software

Skills: 

  • Personal computer and office skills including operation of a personal computer and related software in Microsoft Excel and Word

  • Communication via email and phone

  • Basic understanding of Adobe software, Microsoft 365, and Canva, website upkeep and/or databases is a plus

  • Flexibility and adaptability on the job is needed

Abilities: 

  • Establish and maintain effective working relationships with employees, all levels of management including executive staff, citizens, and elected officials

  • Strong interpersonal communication and ability to interact and communicate with a variety of different people including the administrators, accountants, artists, technicians and the general public

  • Ability to work on fixed deadlines, prioritize tasks, and work on different aspects of multiple projects simultaneously

Licenses and Certifications Required: 

  • Driver’s License preferred, but not required

WORKING CONDITIONS

Essential Personnel:

  • When a local announcement of emergency or disaster is declared by the City, all City of Aurora employees may be required to work as essential personnel.

Physical Demands:

  • Light physical work requiring the ability to lift 20 pounds with or without assistance

  • Frequent walking and standing

  • Hand/eye coordination to operate computer keyboard

  • Vision to read and interpret reports, documents and other written information

  • Frequent speech communication and hearing to maintain communication with employees, customers, contracted artists and community members

Work Environment:

  • Works primarily in a fully functional theater with areas of comfortable office space.

  • Occasionally works in Costume Room, Dressing Rooms, Prop Loft, Box Office, and Green Room, which can be dusty.

  • Regular office hours, with occasional nights and weekends.

Equipment Used:

  • Frequently answers telephone.

  • Uses standard office equipment including personal computer, calculators, shredders and copy/fax machines. and common office software such as email, internet, Word, Excel, etc.

  • Occasional uses of washing machine, dryer, and dishwasher.

  • Uses standard office equipment including personal computer and common office software such as email, internet, Word, Excel and menu driven databases as a part of the Library automated systems

  • This position may require the incumbent to use personal equipment (e.g. vehicle, cell phone, tools, etc.) in the course of their employment.

The city of Aurora will implement furlough days (unpaid days off) for most employees in 2026. The scheduled furlough dates are January 16, April 10, July 2, and December 24.
