Administrative Assistant, Taiwan

About this role

Key Responsibilities:
  • Effectively manage diary appointments for Taiwan Country Head and COO.

  • Coordinate and schedule audio and video conference calls / meetings with multiple participants and across multiple international locations.

  • Arrange international and domestic travel for senior leadership team members as requested (working with corporate travel agent).

  • Process monthly Corporate Amex expenses for Taiwan Country Head and COO.

  • Submit invoices for payment to Accounts Payable, process and approve on dashboard for payment and monitor for budget purposes.

  • Help facilitate team-wide and firm-wide events.

  • Partner with the regional HR to help manage local HR affairs and facilitate organizational enhancements to drive success across the business.

  • Manage relationship development internally and externally.

  • Other ad hoc assignments.

 

Key Requirements:

  • Experience as a Team Assistant/Personal Assistant within a professional or financial services environment (highly desired but not essential).

  • Prior experience working in a global firm (highly preferred).

  • Proven ability to handle sensitive and confidential information with discretion.

  • Advanced proficiency in Microsoft Word, Excel, PowerPoint and Outlook.

  • Strong verbal and written communication skills in both Mandarin and English.

  • Exceptional attention to detail and a strong work ethic.

  • Excellent time management and organizational skills.

  • Experience dealing with business stakeholders at all levels.

  • High energy, self-motivation and a proactive approach to problem-solving and identifying effective solutions.

  • Ability to manage multiple tasks and deliver high-quality results within agreed timeline.

  • Thrive in a fast-paced, matrix environment.

  • Strong team player with a collaborative mindset.

  • Logical problem-solving skills, able to break down complex issues, prioritize, and allocate resources.

  • Interpersonal skills: ability to engage diverse set of stakeholders, understand their viewpoints, build long-term relationships, create a collaborative and inspirational environment within the team.

  • Ability to effectively manage projects; results oriented and able to “roll-up the sleeves” in order to accomplish necessary tasks.
