POSITION SPECIFICS

The College of Health and Human Development (HHD) is seeking a highly organized and detail-oriented Administrative Assistant to provide administrative and financial initiation action support to departments and centers within the College. This role plays a critical part in supporting financial operations by coordinating documentation, initiating transactions, and serving as a liaison between college units, finance hubs, and central offices. 

RESPONSIBILITIES 

  • Collect, organize, and prepare financial documentation such as invoices, receipts, contracts, travel materials, and payment forms. 

  • Review financial requests to ensure information is complete and accurate, and assist with compliance with University policies, grant requirements, and funding guidelines. 

  • Assist with initiating and submitting financial transactions through University systems (e.g., ServiceNow and other tools), including travel reimbursements, purchase requests, and payment submissions. 

  • Communicate with departments and centers, the Research Office, Finance hubs, and members of the HHD FPAC team to help resolve questions and support timely processing. 

  • Maintain organized financial records and documentation to support audits and future reference. 

  • Provide backup support for basic budget-related tasks, such as assisting with position budget reviews and supplemental payments in Workday. 

  • Provide general administrative support as needed to ensure smooth operations across College departments and centers. 

QUALIFICATIONS  

  • Previous experience in an administrative, clerical, customer service, or office support. 

  • Proficiency with Microsoft Office 365 (Word, Excel, PowerPoint); experience with Adobe is a plus. 

  • Exposure to or interest in learning university systems such as SIMBA, LionPath, Workday, and SAP Concur. 

  • Interest in higher education administration, finance, or operations is a plus. 

 

MINIMUM EDUCATION, WORK EXPERIENCE & REQUIRED CERTIFICATIONS

General Equivalency Diploma (GED) or High School (HS) 2+ years of relevant experience; or an equivalent combination of education and experience accepted Required Certifications: None

 

LOCATION 

This position has a hybrid work modality option. The primary location for the role is State College PA, at the University Park campus and will require regular weekly work on campus. Questions related to work schedules should be directed to the hiring manager during the interview process.

SALARY & BENEFITS

The salary range for this position, including all possible grades, is $38,300.00 - $55,500.00.
