Role Description
The position supports C&SF / PPL Management Team. The positions will handle department administration. This includes time management of CIOs and their correspondence, as well as supporting key initiatives through proactive organizational and coordination skills.

Your key responsibilities
Ownership for setting up meetings across multiple time zones, booking rooms, organizing passes, and coordinating catering so that events run without disruption
- Preparation of material for internal and external mandates e.g., presentations, spreadsheets, management reports, agendas to a professional standard, maintaining attention to detail
- Establishing trust, should be able to handle extensive telephone and email correspondence on the senior manager’s behalf
- Facilitating the senior manager’s travel plans with minimum disruption, including planning, and booking detailed travel itineraries (flights, hotels visas), organizing travel meetings and reimbursement of travel expenses
- Co-ordination for office supplies, seating plans and office moves to ensure efficient use of office resources. Handling purchase orders and expense/ invoice processing in a timely manner
- Co-ordination for on-boarding of new employees and contractors to minimize set-up time
- Work with other executive assistants wherever necessary to ensure support needs are covered when required e.g., short-term absence
- Proactiveness in providing administrative support for project work and ad hoc activities as necessary
- Co-ordination of complex calendars and schedules to ensure effective time management and prioritization of engagements wherever necessary
Your skills and experience
- Proven administrative experience in similar role, assisting senior management
- Excellent oral and written communication skill, demonstrating a passion for quality and attention to detail
- Good organization skills and ability to prioritize workflow, demonstrating flexibility when handling multiple tasks
- Proven ability to work well under pressure in a fast –paced environment
- Excellent computer skills, email application, and basic experience of working with databases.
- Ability to work well in virtual teams in matrix organizations.
- Ability to handle confidential information discreetly.
