Job Description Summary

The Administrative Assistant provides essential clerical and operational support for a busy MUSC primary care clinic. This role is responsible for forms management, document processing, clinic scheduling, payroll support, supply ordering, and other administrative tasks. By managing these functions, the Administrative Assistant enables clinical staff to focus on delivering high-quality patient care, supports smooth clinic operations, and promotes staff retention and efficiency.

Job Description

Key Responsibilities

  • Manage clinic schedules, including coordinating appointments and staff coverage.

  • Support payroll processes for clinic staff to ensure timely and accurate submissions.

  • Order, track, and maintain clinic supplies and equipment to support seamless operations.

  • Handle forms management and document processing, including completion, scanning, filing, and tracking.

  • Maintain accurate records and documentation for compliance with MUSC policies and procedures.

  • Serve as a point of contact for administrative inquiries from staff, patients, and external partners.

  • Collaborate with clinical staff to support patient care workflow and coordination.

  • Assist in onboarding new clinical staff to ensure quality training and integration.

  • Perform additional administrative duties as assigned to support clinic operations.

Qualifications

Education & Experience:

  • High school diploma or equivalent required; associate degree or higher preferred.

  • Minimum 2 years of administrative or clerical experience, preferably in a healthcare or clinic setting.

Skills & Competencies:

  • Strong organizational and time-management skills.

  • Excellent written and verbal communication.

  • Proficiency with Microsoft Office Suite and electronic health record (EHR) systems.

  • Ability to manage multiple tasks efficiently in a fast-paced environment.

  • Attention to detail and commitment to accuracy.

  • Strong interpersonal skills and ability to collaborate with clinical and administrative teams.

Other Requirements:

  • Knowledge of clinic operations and healthcare administrative processes preferred.

  • Ability to maintain patient confidentiality and comply with HIPAA and MUSC policies.
