Coordinates and manages office activities and workflow processes to ensure smooth efficient operations. Performs administrative support duties while making work related decisions in accordance with existing policies and procedures.
Essential Functions (Principal Duties and Job Responsibilities):
- Answers phones, greets guests, sorts mail.
- Composes, formats and types correspondence.
- Maintain updated databases of faculty (FTE and Adjunct) credentials, scholarly activity, and clinical teaching assignments.
- Monitor and maintain current and accurate roster of adjunct faculty with appointments at our distant learning sites
- Support data entry into Workday, Blackboard, or other institutional systems.
- Assist with all aspects of continuing medical education (CME) activities for the department
- Assist with the coordination of community health fairs and other community-based activities
- Assist with the coordination of Grand Rounds – schedules, handouts, lunches and speaker requests
- Assists with the Clerkship and Residency programs as needed
Knowledge, Skills and Abilities Required:
- Demonstrated knowledge of office procedures and proficiency in various PC based word processing and spreadsheet applications to include Microsoft Word, Excel.
- Strong verbal and written communication skills.
- Strong composition and editing skills.
- Good organization and time management skills.
- Demonstrated interpersonal skills necessary to establish and maintain effective working relationships with internal and external contacts.
Knowledge, Skills, Abilities Preferred:
- Comprehensive knowledge of institutional policies, procedures and organization structure.
Education and Experience Required:
- Bachelor’s degree from an accredited college or university with a minimum of one (1) year of experience or the equivalent of four (4) years relevant related experience.
