Purpose

The Assistant Director will support the McCombs Donor Experience and Signature Events (DESE) team in advancing engagement with donors, board members, and friends of the school through strategic event logistics and execution. This position will work in close partnership with the Director of DESE, who retains overall responsibility for event execution. The Assistant Director will be a key contributor to logistics planning and pre-event preparation, ensuring successful experiences for alumni, donors, current students and prospective students. Collaboration with the full DESE team is essential.

Responsibilities

Key City Events:

  • Support planning and logistics for McCombs strategic donor and alumni engagement events in McCombs’ key cities (e.g., New York, Dallas, Houston, London).
  • Help manage venue coordination, catering, attendee lists and supplies. 
  • Work closely with DESE team to coordinate messaging and branding.
  • Board and Council Events: Coordinate meeting logistics and programming for BBA Advisory Board, MBA Board, NYFM Council, WSFM Council, and other leadership groups. Collaborate with the Senior Associate Director to ensure alignment on invitations, agendas, and post-event follow-up. Support committee breakout sessions and manage event materials.  Support council stewardship events and pipeline-building engagements in partnership with the Senior Associate Director.  Assis with run-of-show, agenda and PowerPoint materials.

Signature Events:

  • Work closely with the Director on logistics for McCombs wide signature events. 
  • Manage timelines, vendor communications and collateral preparation. 
  • Partner with the Director on execution planning; assist with event materials and day-of support.

Global Events:

  • In collaboration with Director, coordinate logistics for global-facing engagement opportunities global city alumni engagement events.

New York For McCombs Student Engagement:

  • Plan and support student–mixers and related events to enhance the School's academic programs, student experience and community-building between New York for McCombs board members and students.
  • Liaise with the Wall Street for McCombs academic program to support co-curricular programming that builds the student pipeline to alumni networks.

Collaboration & DESE Team Support:

  • Assist the Director with event strategy, vendor negotiations, and DESE-wide initiatives.
  • Provide prep and staffing support to team-led events as needed.
  • Serve as a backup for other team members during peak periods. 
  • Serve as a collaborative member of the DESE team and regularly partner with stakeholders across the School of Business, University Development, Office of the Provost, President's Office and other university groups on event operations.

Required Qualifications

  • Bachelor's degree and a minimum of seven years of experience in event management
  • Demonstrated ability to multi-task, work under pressure and meet deadlines.
  • Ability to work efficiently with minimal supervision. Self-starter and self-reliant and ability to work both independently and as part of a team.
  • Demonstrated proficiency in organizing and recording data.
  • Excellent interpersonal, verbal, and written communications skills.
  • Strong attention to detail and demonstrated organizational and analytical skills.
  • Experience using Microsoft Office.
  • Commitment to providing excellent customer service.
  • Experience composing correspondence and other written materials.
  • Ability to travel nationally and internationally on an occasional basis for events in key cities.

Relevant education and experience may be substituted as appropriate.

Preferred Qualifications

  • Experience working in a fast-paced environment.
  • Experience working in a higher education setting. 
  • Experience working with The University of Texas rules, policies, procedures and event planning.

Salary Range

  • $64,000 + depending on qualifications

Working Conditions

  • May work under standard office conditions with repetitive use of a keyboard at a workstation.
  • Occasional travel.
  • This is an Austin, Texas-based position.
