In the Administrative Assistant - Manufacturing Plant Operations Support role, you will provide essential administrative support for various functions within the manufacturing operations, safety, quality, and maintenance teams.
You will coordinate or assist in areas of new hire initiation, vendor and guest support, document control, training, and event coordination to ensure smooth daily operations and record keeping. You will report directly to our Plant Manager.

Key Job Responsibilities:
Administration
Calendar Management: Proactively manages an ever-changing schedule against priorities to ensure optimal use of time.
Manage the visitor check-in process for new hires, vendors, contractors, and internal guests. Duties include ensuring visitors follow the proper check-in process and meet requirements, connecting the guest with their host, issuing badges, and coordinating seating arrangements or conference rooms as needed.
Represent the business as the first point of contact for operations new hires as our Welcome ambassador.
Serve as the primary liaison for new hires during their first week, coordinating onboarding activities such as ordering badges, collecting payroll documentation, and assisting with locker and uniform assignments.
Order and distribute office supplies for operations employees by request.
Act as the point of contact for employee benefit questions to either answer questions or redirect employees to the proper resource.
Proactively identify and address the needs of operations employees as opportunities present themselves.
Document Control
Maintain electronic storage of various hard copy records for operations, quality, safety, and maintenance.
Task assignee for uploading new document revisions into the document control database and archiving old revisions.
Update plant training plans and corporate training system based on employee training records and maintain hard copy storage where required.
Communicate overdue training to operations managers each month.
Update the Grainger PPE machine Database for operations personnel.
Event Coordination
Plan hiring events – schedule and reserve location, construct interview panels, communicate with the talent acquisition group on specific needs for each event (signage, documents, catering, etc.)
Assist the safety department with the planning of health clinics, on-site group training events, and evacuation drills.
Maintain plant evacuation lists and maps.
Communicate with the third-party vendor for on-site drug screenings of employees.
Act as the site United Way representative – manage the campaign kickoff meetings; work with the local United Way representative to schedule guest speakers and presentations, distribute United Way information to the site personnel through posters, brochures, email communications, etc.
Participate in employee recognition events – communicate events to site personnel, assist with catering and room setup, manage the annual budget report and pay vendor invoices.
Minimum Hiring Requirements:
A bachelor’s or associates degree is preferred but is not required.
A high school diploma or GED is required.
3+ years of continuous administrative support experience is required.
Manufacturing or industrial administrative support is preferred but is not required.
Proficiency in SAP and MS Suite is required.
Excellent customer service experience is required.
Excellent communication skills and attention to detail are required.
A valid driver’s license, clean driving record, and a reliable personal vehicle are required.
