Job Description
Position Overview
The Administrative Assistant position requires demonstrated ability to work in a team environment with proven interpersonal skills and professionalism in dealing with management, co-workers and vendors. Must be able to handle multiple assignments at once and time sensitive deadlines.
Main Responsibilities
- Responsible for designing, implementing, disseminating, and maintaining records management policies and procedures including validating policy compliance and proper handling of both internal and external documents.
- Support with relevant document handling including receipt, signatures, delivery, and archiving / filing both physically and electronically.
- Responsible for local and national courier service (inbound and outbound).
- Coordinate attention to office visitors and registration including, amongst others, ensuring proper designation of meeting rooms, meeting room readiness and coordination of logistics for intercompany visits and corporate events.
- Assist with meeting preparedness including appropriate supplies, services and general expenses.
- Assists with Senior Management schedule, travel planning and expense reimbursement.
- Assists with special events planning.
- Management of Corporate Memberships.
- General office support and other ad-hoc duties as assigned.
- Assist with company internal and external communications strategy initiatives and financing reporting requirements under supervision of functional leads
Required Skills
- Bachelor’s degree
- Administrative experience is desired.
- Computer proficiency with Microsoft Office software.
- Good verbal and written communications skills.
- Candidates must be willing and capable of becoming multi-skilled and be part of a self-directed work team in a team environment.
- Advanced professional English language (written and verbal) skills.
