Position Overview

The Administrative Assistant III provides administrative support to senior, non-executive leaders. This position requires skills in a range of processes, procedures and systems and to work with a limited degree of supervision and maintain confidentiality. The ideal candidate will be proactive, highly organized, and capable of managing competing priorities in a fast-paced, dynamic environment.

Essential Duties

Include, but are not limited to, the following:

  • Navigate routine and non-routine day-to-day activities of senior, non-executive leaders to ensure seamless execution.
  • Manage calendars, expense reconciliation, travel arrangements and other tasks as needed.
  • Proactively assist in problem-solving for the leader - research inquiries, become knowledgeable about areas the leader leads and how their team works with other areas of the business, recommends changes and solutions to improve efficiency.
  • Serve as a trusted partner and primary point of contact for internal and potentially external stakeholders on matters pertaining to the leaders’ schedule and activities.
  • Review and triage incoming correspondence, emails, and requests; respond on behalf of leaders where appropriate.
  • Prepare high-quality documents, reports, presentations, and communications in support of meetings and initiatives.
  • Manage sensitive and confidential information with a high level of integrity and discretion.
  • Perform other duties as assigned in support of the leader and teams’ operations.
  • Uphold company mission and values through accountability, innovation, integrity, quality, and teamwork.
  • Support and comply with the company’s Quality Management System policies and procedures.
  • Maintain regular and reliable attendance.
  • Ability to act with an inclusion mindset and model these behaviors for the organization.
  • Ability to work nights and/or weekends, as needed.
  • Ability to work on a mobile device, tablet, or in front of a computer screen and/or perform typing for approximately 90% of a typical working day.
  • Ability and means to travel 5% between Exact Sciences locations.
  • Ability to travel 5% of working time away from work location. May include overnight/weekend travel.

Minimum Qualifications

  • High School Diploma or General Education Degree (GED).
  • 2+ years of demonstrated experience working in an administrative support capacity.
  • Demonstrated experience with business travel & expense platforms & receipt reconciliation.
  • Demonstrated proficiency in the Microsoft365 suite.
  • Demonstrated ability to perform the essential duties of the position with or without accommodation.
  • Authorization to work in the United States without sponsorship.
