Responsibilities:
Administrative support
Provide comprehensive administrative support to enhance organizational efficiency.
Support the R&D Director with calendar management, including coordination with internal and external stakeholders.
Independently organize agendas, meetings, and logistical arrangements for on-site and global engagements.
Coordinate domestic and international travel arrangements, including detailed itineraries.
Prepare and process travel expenses and reimbursements promptly.
Process purchase orders (POs).
Manage legal agreements (e.g., CDAs, Statements of Work, Master Service Agreements).
Manage contracts and legal agreements with healthcare organizations and health care professionals.
Build and maintain effective working relationships within the Salt Lake City site and across global teams.
Collaborate with administrative assistants across the organization to manage complex scheduling demands.
Create high-quality PowerPoint presentations for R&D updates and meetings.
Demonstrate a strong service mindset to support the R&D Director in driving efficiency and effectiveness.
Required Qualifications:
Education & Experience
Minimum of 5+ years of experience as an Administrative Assistant supporting multiple leaders in a fast-paced, matrixed, multicultural environment; corporate experience preferred
High school diploma required; bachelor’s degree strongly preferred.
Knowledge, Skills & Abilities:
· Advanced proficiency with Microsoft Office Suite (PowerPoint, Word, Excel, Outlook); ability to create and edit presentations including animations, charts, and proofreading.
· Proficiency with SAP, Workday, and Concur.
· Ability to manage a high-volume workload, complex calendars, and frequent travel arrangements.
· Excellent interpersonal and communication skills, with experience supporting senior management and diverse internal/external partners.
· Collaborative team player with the ability to build positive working relationships at all levels.
· Self-motivated, enthusiastic, and confident, with strong initiative and professional presence.
· Strong sense of urgency, follow-through, and ability to prioritize in a fast-paced environment.
