The Administrative Assistant plays a key role in ensuring smooth daily operations by managing corporate visits, supporting internal and external events, handling event-related purchases, and supporting internal communications. This position requires a highly organized, proactive, and detail‑oriented professional who can manage multiple tasks while providing excellent support to internal stakeholders and visitors.


Key Responsibilities.


1. Visit Management
Coordinate and manage all aspects of corporate visits, including scheduling, agenda preparation, room reservations, and logistics.
Welcome visitors on-site, ensuring a professional and positive experience.
Prepare and maintain visit materials such as welcome packs, presentations, and facility information.


2. Event Organization
Support in planning, organizing, and executing company events such as employee engagement activities, celebrations, awareness campaigns, and leadership meetings.
Handle event logistics including venue setup, supplier coordination, catering, equipment, and registration lists.
Monitor event timelines and ensure all tasks are executed efficiently and according to company standards.


3. Purchasing & Supplier Management
Manage purchases related to visits, events, and internal activities (e.g., catering, materials, gifts, supplies).
Collaborate with suppliers to obtain quotes, negotiate prices, and ensure timely delivery of goods and services.
Internal
Process purchase requests and maintain budget tracking for event-related expenses.


4. Internal Communication Support
Support the creation and dissemination of internal communications, including announcements, newsletters, intranet posts, and event updates.
Ensure communication materials reflect the company’s tone, values, and branding guidelines.
Collaborate with HR and other departments to ensure timely and accurate information flow across the organization.


Qualifications & Skills:

  • Proven experience in administrative, event coordination, or office support roles.
  • English proficiency; additional languages are a plus.
  • Excellent communication skills (written and verbal).
  • Proficiency in Microsoft Office tools (Outlook, Word, Excel, PowerPoint).
  • Strong organizational and multitasking skills.
  • Ability to interact professionally with employees, visitors, and suppliers.
  • High level of discretion and attention to detail.
