As the Administrative Assistant you will provide centralized administrative support to operating groups and shared services through tasks involving procurement, organization, collaboration, and communication. In this role you are essential for delivering excellent customer service and ensuring consistency in common processes.

Essential Responsibilities:
- Responsible for supporting Finance with the weekly cheque run for the region, including sorting and distributing cheques and coordinating with signing officers to ensure all cheques are handled in accordance with established guidelines
- Administers multiple mobility accounts to support operations and shared services including purchasing hardware, monitoring usage and addressing overages
- Assists administrative teams with managing records archived at third-party warehousing facilities to ensure compliance with company guidelines
- Provide relief coverage for Office Services and Facilities team roles as such as sorting and distributing mail, managing courier deliveries, maintaining office supply inventory, assisting with reception duties, handling minor maintenance requests, and providing accounting support for vendor payments
- Liaises with Office Services to provide support for internal, employee-focused events
- Support tasks may include coordinating event logistics, assisting with event setup and takedown, arranging catering, managing fundraising sales, administering auctions, tracking participation, and helping with communications and reporting
Qualifications:
- Minimum of two years’ administrative experience
- Strong customer service background in a professional office environment
- Skilled in data entry, reporting, filing, scheduling, and general office communications
- Experience coordinating with contractors, suppliers, and internal departments
- Advanced proficiency in MS Office with the ability to learn new systems quickly
- Strong multitasking and prioritization skills in fast-paced settings
- Effective problem-solving abilities with a solutions-focused mindset
- Excellent verbal and written communication skills
- Highly organized with strong attention to detail and deadline awareness
- Team-oriented, self-motivated, and able to work collaboratively with others
