Summary of Job Duties:

The Administrative Analyst is responsible for providing administrative support to the faculty, undergraduate students, and graduate students in the Department of Information Science. This position coordinates with various units within the college and the university. This position is governed by state and federal laws and agency/institution policy.


Qualifications:

Required Education and/or Experience:

  • The formal education of a high school diploma.

Preferred Education and/or Experience:

  • Plus one year of specialized training in business management, business education or a related field;

  • Three years of experience in a specialized or related field applicable to the work performed.

Job Duties and Responsibilities:

Cost Center Account Management 

  • Monitor and reconcile WorkDay financial accounts for Program, Grant, and faculty.

  • Create purchase requisitions, including tracking order progression from requisition through vendor payment, processing invoices, and receipts for purchase reimbursements.

  • Maintain spreadsheets for various Program accounts, Grants, and faculty indirect accounts. As needed, resolve discrepancies, communicate account status, and initiate budget and other expense transfers

 

Customer Service 

  • Greet students and visitors; 

  • Answer telephone/email inquiries, and relay messages.

  • Provide information on the school, refer students in need of advising to the appropriate advisor, answer faculty and student questions, including referrals to other UALR offices.

 

Event Management 

  • Assist Chair with maintaining the department calendar.

  • Assist with making catering requests and reserving meeting rooms.

 

Inventory Management 

  • Assist Chair in conducting the annual inventory of school property.

  • Maintain inventory records for the school. Update ownership/location of items as needed, and document any lost or obsolete items.

 

Office Operations 

  • Maintain financial and administrative files for the department.

  • Work with e-mail, WORKDAY, and other office support software. 

  • Sort and distribute mail/materials.

  • Order and manage office supplies.

  • Coordinate servicing of office equipment such as copier/fax machine. 

  • Assist faculty with requests such as placing textbook orders, obtaining classroom/office supplies.

  • Maintain office area and storage areas.

 

P-Card Management 

  • Maintain proper use of the department’s Purchase Card (P-Card)

  • Make purchases and re-allocate costs to the correct account

  • Track status of P-Card orders and payments

  • Document and maintain a record of P-Card Purchases

 

Travel Management 

  • Prepare travel documents for Guests of State, faculty, staff, and students 

  • Assist in gathering required documents (e.g., W9 forms, flight receipts) 

  • Help prepare and process travel spend/expense forms 

  • Assist in making travel reservations, including completing and submitting Special Meeting forms (if needed).

  • Process and maintain records of the department Travel Card (CTS) expenditures.

 

Time Tracking and Employee Management 

  • Serve as Department Time Keeper

  • Manage Department Phone/Office Directory 

  • Work with the College to submit hire/termination requests for extra help 

  • Assist in hiring and supervising student employees. 

  • Attend and assist at department meetings by taking minutes and disbursing minutes to faculty and staff on time.

Knowledge, Skill, and Abilities:

  • Knowledge of work-related subject area;

  • Knowledge of computers and software applications;

  • Ability to prepare, present, and review oral and written information and reports;

  • Ability to research and analyze related work program information;

  • Ability to develop, recommend, interpret, and apply policies and procedures;

  • Ability to analyze financial records and prepare reports;

  • Ability to plan, organize and direct the work of others;

  • Microsoft Office, Google Applications and Workday/Banner experience is preferable.
