Step into a pivotal role at the heart of the University of Queensland’s executive operations.

As an Administration Officer in the Office of the Vice-Chancellor and Chancellor, you will provide high-level, confidential administrative support that ensures the smooth running of senior leadership activities. This is a unique opportunity to work closely with the University’s most senior executives, managing complex calendars, coordinating high-profile events, and acting as a trusted point of contact for internal and external stakeholders.

Key responsibilities will include: 

  • Provide high-level administrative support and office coordination for the Vice-Chancellor, Chancellor, and senior executive team, including managing calendars, meeting papers, and correspondence.

  • Serve as the first point of contact for internal and external enquiries, responding to routine and complex queries with professionalism and discretion.

  • Organise and support the planning and execution of meetings, events, travel arrangements, and other office activities, ensuring efficient and seamless operations.

  • Maintain and develop office procedures, financial processes, and records in compliance with University policies, legislation, and best practice standards.

About You

  • Highly organised and detail-oriented, thriving in fast-paced, high-level administrative environments.

  • Strong interpersonal and communication skills, with the ability to build and maintain professional relationships with internal and external stakeholders.

  • Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook) and experienced in using a range of administrative systems.

  • Demonstrates sound problem-solving skills and the ability to manage competing priorities with discretion and professionalism.

  • Works effectively both independently and as part of a team, contributing to a collaborative and supportive work environment.

  • Takes a proactive approach to continuous improvement, including developing and maintaining procedures, office processes, and records in line with best practice and University policies.

The successful candidate may be required to complete a number of pre-employment checks, including right to work in Australia and a criminal check.
