Performs complete executive administrative services in support of senior leadership in a medium to large-size facility. This position handles highly confidential information and files. This position typically reports to an executive leadership position responsible for a major function such as finance, manufacturing, commercial, and/or general management of a business unit or division. Works through differing situations requiring the identification of issues within administrative duties, the application of judgement, and the selection of solutions with known choices.

Job purpose
An Administrative Officer is responsible for managing office operations, coordinating administrative tasks, and e
nsuring smooth day-to-day functioning of an organization.
Principal Responsibilities.


• Ensuring transport schedules, SOPs are made & adhered to ensure safe & timely operation of Transport
(Buses, Cabs, Tempo etc.).
• Ensure cafeteria serves nutritious meals during breakfast, lunch, and dinner hours, providing employees
with a variety of healthy and balanced meal options with minimum waste.
• Need to ensure providing the Shopfloor garments (Dungaree, Lab Coats, lockers for same) to safeguard
the employees while working in the production floor with scheduled cleaning frequency
• Ensuring adequate cleaning activities are performed by the third party.
• Ensuring Waste Management segregation, scrapping & timely disposal through third party.
• Ensure good Horticulture is maintained in all seasons
• Timely pest control to avoid rodents, etc.
• Ensuring timely distribution of uniforms for summer and winter.
• Leading or supporting the celebrations done in the organization
• Will be responsible for upkeep of furniture, chair & ordering of same as & when required.
• Ensure upkeep of stationary items & its timely distribution
• Ensuring timely payments & billing as per the contracts.
• Budget monitoring and controlling the same.
• Ensuring Asset counts on set frequency.
• Preparation and adherence of SOP’s, Risk Assessments & implementing effective controls to ensure zero
Incidents.
• Leading IATF16949 & EHS Audits
• Ensuring 4 non-negotiables are never compromised in any case. (Safety, Quality, Sustainability & Ethics &
Compliances).

Principal Authorities
• Changes in Bus routes, drivers, buses, cabs, etc.
• Changes in cafeteria services as an when required including time changes.
• Can increase or decrease number of Dungarees/lab coats based on the cleaning requirements
• Authorize to take decision w.r.t Horticulture for its improvement.
• Can challenge anyone for 4 non-negotiables
• Can challenge if Admin SOPs are not adhered.

Scope
The production shift supervisor is responsible for the production area. Responsible for safety, quality and
performance, leading the improvement projects, process changes. Authority to run the trails and change
production plan.

Qualifications/ knowledge/ experience

  • Graduation. MBA is preferable - Essential
  • 10 years’ experience working in Admin Function - Essential
  • Good hold on MS Office - Essential
  • Good Hold on ERP system (SAP) - Essential
  • JMPS, Lean manufacturing - Essential
  • Budget preparation & control - Essential
  • Knowledge of the Procurement process (CAPEX and OPEX) - Essential
