About the Role: 

Reporting to the Faculty Services Manager, the Academic Coordinator provides comprehensive administrative and academic coordination support for academic programs within the Faculty. The incumbent ensures smooth delivery of student services, program operations, and departmental processes, while maintaining compliance with institutional policies, procedures, processes and timelines. The incumbent acts as a key resource for Faculty leadership, and instructors supporting program administration, academic integrity and financial processes.    

 

The Academic Coordinator will:  

  • Support administrative and coordination functions, for programs, labs and centres;  

  • Coordinate course collection, program planning, timetabling and scheduling to ensure efficient program delivery and alignment with registrar office timelines; 

  • Maintain accurate and up-to-date course outlines, syllabi, and academic calendars;  

  • Support instructor and course evaluation processes;  

  • Assist with program reviews and accreditation requirements; 

  • Provide relevant information (e.g., enrolment projections) to assist programs with decision-making related to policy, course, or program changes; 

  • Administer program and course change process via the undergraduate programs committee (UPC); 

  • Liaise with individuals/departments involved in program matters, both internal and external to the program (e.g., Registrar’s Office, Academic Advisors, Experiential Education Coordinators, Recruitment); 

  • Oversee and advise on Articulation and collaborative Agreements with colleges and universities;  

  • Prepare and distribute internal communications and program updates within the Faculty 

  • Coordinate teaching budgets, including TA and marker grader assignments/ hours, developing budgets, assigning hours and revising plans in consultation with Chairs;  

  • Oversee TA and Instructor contractor entry, and support recruitment processes, including gathering requirements, tracking and ranking candidates, and ensuring compliance with collective agreements;   

  • Support digital content management, including website updates, social media, SharePoint, and promotional materials;  

  • Input department annual budget data into financial system; 

  • Monitor program and department budgets, identifying variances or issues as needed;   

  • Support and facilitate student enrollment processes, including registration overrides and waitlist management;  

  • Assist with admissions, internship applications, and tracking milestone records; 

  • Support academic integrity workflows and ensure compliance with related policies 

 

Key Skills and Experience: 

  • Diploma or degree in a related discipline. The equivalent combination of education and experience would be considered;  

  • Experience in academic administration or program coordination;  

  • Proficiency with computer systems and software applications; 

  • Awareness and understanding of various collective agreements; 

  • Ability and willingness to learn and adapt to emerging technologies, including AI tools and platforms; 

  • Ability to maintain accurate records, including financial record keeping;  

  • Excellent writing, grammar, editing, and proofreading skills;  

  • Promotes and embodies inclusivity and respect within the workplace and the broader community; 

  • Excellent communication and interpersonal skills; 

  • Committed to providing exceptional support to students, faculty, and staff;  

  • Builds strong relationships across departments and units;  

  • Strong organizational and time-management skills with attention to detail;   

  • Ability to manage multiple priorities in a fast-paced environment;  

  • Ability to manage complex schedules, deadlines, and processes;  

  • Proactively identifies issues and implements effective solutions; and  

  • Responds effectively to changing priorities and peak workload periods. 

 

Salary and Total Rewards:  

  • Job Grade I, Salary Scale ($52,093-$84,476); 

  • Target Hiring Range: $52,093-$56,000 

  • This is a permanent position that includes  

  • Health & Dental Benefits: Comprehensive extended health, dental, and vision coverage. 

  • Pension Plan: Enrollment eligibility in the Brock University Pension Plan. 

  • Vacation: Up to 3 weeks per year, in addition to university holidays.

*The final salary is based on experience, internal equity, and budget considerations within the target hiring range.
