The role of Global Intake Specialist at BBA Immigration is essential in guiding potential clients towards successful consultations with our legal team. This position exists to improve the intake process by increasing the number of consultations booked and ensuring potential clients receive timely and professional follow-up. As a part of this process, you will make a significant impact by ensuring that each qualified lead is converted into a consultation that aligns with the firm's mission of aiding immigration applicants. Your efficiency and dedication to follow-through will support the firm’s broader client service strategy and growth objectives.

 

 

What you’ll do:

 

  • Lead Management: Handle inbound leads from website inquiries, social media, referrals, phone calls, and chats, ensuring prompt response and structured follow-up.
  • Client Qualification: Screen leads for potential eligibility and value using prescribed firm SOPs and scripts.
  • Consult Scheduling: Communicate the value of the firm’s services and confidently guide qualified prospects toward securing a consultation with an attorney, aiming to book the consultation on the initial call.
  • Follow-Up: Consistently follow up with potential clients to maintain engagement and ensure consultations move forward as scheduled.
  • Engagement Agreements: Prepare and send engagement agreements, ensuring they are signed and returned promptly.
  • Data Management: Maintain accurate and up-to-date records in Clio, ensuring all interactions are logged.
  • Process Improvement: Identify and act upon opportunities to streamline and enhance the intake process.
  • Reporting: Contribute to team success by tracking performance metrics and achieving monthly targets.
  • What Success Looks Like: A successful person in this role improves consultation booking and show rates by effectively engaging qualified prospects and driving them toward scheduled consultations with the firm’s attorneys.


What we’re looking for: 

              

  • Bilingual Fluency: Must be fluent in both Spanish and English, capable of engaging diverse client populations.
  • Sales Experience: Proven experience in consultative sales within professional services, emphasizing empathy over high-pressure tactics.
  • Follow-Up Skills: Demonstrated persistence and ability to handle objections empathetically and effectively.
  • Tech Proficiency: Familiarity with CRM systems, particularly Clio, plus Microsoft 365 and communication tools like WhatsApp.
  • Self-Starter: High initiative, able to act independently without needing direction, and continuously seek improvement.
  • Communication: Excellent communication skills with a focus on empathetic client interactions.
  • Process Discipline: Ability to diligently follow scripts and SOPs while adapting as needed to client contexts.
  • Coachable: Open to feedback and adaptable to process improvements, with an eagerness to learn and grow.
  • Remote Work Readiness: Proven ability to thrive in a remote work environment while maintaining accountability, communication, and consistent performance.
