About the role:
As a Workplace Experience and Hospitality Intern, you’ll play a key role in creating a positive, engaging, and efficient workplace experience. You’ll help deliver our core culture initiatives while also supporting the team through a transition period focused on process simplification, automation, and digital tool deployment.
This internship is ideal for someone who’s proactive, organized, and eager to make a meaningful impact on employee experience in a fast-paced, international environment. You will be reporting to the Senior Office Manager.
In particular, you will:
Internal Events Coordination:
- Support event autonomy by helping Owkinautes plan and manage their own team activities (hackathons, workshops, guest visits, etc.)
- Actively assist in the planning, organization, and execution of internal events from weekly breakfasts and workshops to after-work gatherings and celebrations.
- Coordinate event logistics (catering, materials, room setup, communication) and ensure smooth on-site execution.
- Track event calendars, support the preparation of invitations and communications, and gather feedback after events.
- Contribute creative ideas for team activities, themed events, and engagement initiatives across offices.
- Help create visuals, presentations, and communication materials that promote upcoming events and celebrate their success.
Office & Administrative Support:
- Help keep the office organized, welcoming, and well-stocked with supplies and refreshments.
- Manage recurring orders (office supplies, F&B) and ensure we’re never out of stock.
- Support employee onboarding and offboarding by preparing welcome kits and shipments.
- Organize and update documentation, ensuring policies and processes are up to date.
- Maintain documentation and assist in preparing reports or dashboards related to cultural activities and engagement metrics.
- Assist with reception duties as needed, including managing guest lists and requests.
Team & Vendor Collaboration:
- Work closely with the Culture team to coordinate initiatives’ timelines and priorities.
