The Workflow Administrator is responsible in ensuring transaction requests are received, logged, ticketed and distributed in a timely and efficient manner and turnaround time requirements are met. The administrator collaborates with the other functions with the Operations department, while balancing volumes and priorities as well as other administrative duties within the Operations Group.

This role is fully in office (5 days/week) - based in Toronto, ON.

Key Accountabilities:

  • Responsible for preparing, logging and scanning incoming transaction requests for virtual remote processing.

  • Prioritize processing of items with regulatory requirements to ensure compliance

  • Respond promptly to daily inquiries from internal clients, ensuring timely and accurate assistance.

  • Develop a thorough knowledge and understanding of the services offered by clients to their security holders and keep up-to-date on circumstances which affect the security holders especially security transfer requirements.

  • Ensure compliance with policies, procedures and regulatory requirements.

  • Keep operational procedures and guidelines up-to-date and enrich them whenever needed

  • Help further strengthen the risk framework by acting as first line of defense and implementing relevant controls

  • Help streamline the process flows and develop initiatives to increase the added value for the clients, their shareholders and the company

  • Other duties and responsibilities as assigned.

Must Have(s):

  • 1 to 3 years working experience in an office environment and/or Working experience in Financial Industry

  • Proficient in Microsoft Office and/or Google suite applications 

  • Ability to prioritize, multi-task and meet strict deadlines

  • High level of attention to accuracy and detail required

  • A friendly service-oriented individual with good communications skills

Nice to Have:

  • Proficient with Macros

  • Knowledge about Apps Scripts

Salary Range: $20/h -$23/h CAD
