The Workday Specialist plays a key role in supporting Enrollment Services Operations (ESO) during the transition to Workday student. The Specialist contributes to the smooth operation of daily processes, troubleshoots issues, assists specialized teams during peak periods and the transition to new processes and procedures, and ensures best practice across systems, tools, and policies.
ESSENTIAL JOB FUNCTIONS:
Document Management & Processing
Supports specialized teams in ESO with daily operations including, but not limited to data entry, document processing, records management, registration, and transcript evaluation.
Demonstrates technical proficiency with the student information system, document management/workflow tools, and other electronic platforms.
Maintains records in compliance with university systems, policies, and regulations.
Customer Service & Support
Serves as the primary contact for students, faculty, and staff with enrollment services inquiries, including during extended hours of operation.
Provides comprehensive support and troubleshoots questions related to departmental processes and procedures.
Interprets and responds to inquiries, and routes to appropriate team members using multiple technology platforms.
Shares of ESO responsibilities, policies and processes across departments (applications, enrollment, transcript evaluation, records management, grades, registration).
Communicates effectively via phone, chat, and email, ensuring accurate records and a positive student experience.
Upholds confidentiality standards and ensure all communications comply with FERPA regulations.
Operations & Documentation Support
Stays current on procedural, process, and policy updates that enhance ESO functions.
Identifies opportunities for process improvement with new and existing processes and implement solutions.
Updates documentation to ensure staff and students have access to accurate information.
Promotes best practices in the use of tools, systems, and policies, ensuring compliance with university standards.
Clerical
Assists with office tasks such as ordering supplies and creating master schedules for office coverage.
Culture of Respect
Fosters and maintains a safe environment of respect and inclusion for faculty, staff, students, and members of the community.
*Regular, predictable, and punctual attendance is required.
OTHER DUTIES & RESPONSIBILITIES
Attends all required departmental meetings and trainings.
Works during operational hours (Monday- Friday 8am-5pm), including until 7pm on Wednesday as well as occasional evenings and weekends during extended hours.
MINIMUM EDUCATION AND EXPERIENCE REQUIRED
High School Diploma or GED
Three (3) years of progressively responsible clerical student services experience in the area of the assigned specialized function, such as advising, career services, or higher education.
*An appropriate combination of education, training, coursework and experience may qualify a candidate.
LICENSES AND CERTIFICATIONS
State Motor Vehicle Operator’s License or demonstrable ability to gain access to work site(s).
WORKING CONDITIONS
Typical office environment. Regular exposure to moderate noise typical to business offices.
