The Visitor Services Coordinator at University of the Cumberlands is a vital member of the Admissions team, dedicated to creating a welcoming and hospitable experience for all prospective students, families, and campus guests. This position provides front-line support for the Undergraduate Admissions Office, greeting visitors, assisting with events, and supporting the Admissions team, including the Associate Director and Executive Director of Admissions. The ideal candidate is organized, personable, and passionate about enhancing the visitor and student experience.
Key Responsibilities:
- Greet visitors, providing a warm and informative welcome to prospective students, families, and campus visitors.
- Answer incoming calls and respond to visitor inquiries, providing detailed and accurate information about admissions, campus life, and academic programs.
- Assist the Executive Director and Associate Director of Admissions with administrative tasks, including calendar management, scheduling, and correspondence.
- Support the coordination and execution of campus visit events, including Patriot Preview Days, information sessions, and special group tours.
- Oversee the daily operations of the visit area, ensuring the space is well-maintained, organized, and stocked with up-to-date materials and refreshments.
- Assist the Associate Director with supervising and mentoring student ambassadors, providing training, and ensuring consistent quality in visitor interactions.
- Input, manage, and maintain accurate visitor and event data in the Admissions CRM, tracking engagement metrics and assisting with reporting as needed.
- Assist in coordinating hospitality arrangements for special guests, including accommodations, transportation, and dining reservations as requested by other offices.
- Gather and analyze feedback from visitors to improve the overall visit experience.
- Perform other duties as assigned to support the Admissions team and enhance the visitor experience.

Qualifications:
- Bachelor’s degree
- Strong interpersonal skills with a welcoming, professional demeanor.
- Excellent organizational skills, attention to detail, and the ability to manage multiple priorities.
- Proficiency in Microsoft Office Suite; experience with CRM or admissions software is preferred but not required.
- Ability to work independently and collaboratively within a team environment.
- Flexibility to occasionally work evenings or weekends for special events.
