Day in the Life of a Virtual Counseling Coordinator

  • Manage multiple priorities in a fast-paced environment, balancing scheduling, patient communication, and group session coordination

  • Coordinate and oversee real-time execution of virtual group therapy sessions

  • Monitor and manage Zoom rooms to ensure patients are attending the correct sessions

  • Conduct proactive, targeted outreach to patients via phone, text, and other communication channels

  • Reduce no-show rates by reinforcing appointment adherence and engagement

  • Identify patients who miss scheduled sessions and follow up to re-engage them in treatment

  • Ensure treatment plans are created and aligned with scheduled services

  • Support continuity of care through consistent patient follow-up and communication

  • Assist PAC leadership with administrative tasks and special projects as needed. 

  • Work with centers to ensure availability for group therapy sessions.

  • Delivery of virtual sessions links.

  • Demonstrate exemplary patient service.

  • Assist with other duties as directed.

  • Handle after-hours chat and direct feedback inquiries.

  • Work independently with no immediate supervisor or team lead support.

Education and Experience requirements

  • Proven experience in working directly with patients with SUD

  • Previous healthcare, medical back-office experience, or customer service experience required

  • Compassion and desire to help people.

  • Excellent Customer Service skills required

  • Excellent written and verbal communication skills required

  • High School Diploma/GED

  • Must be able to prioritize and multi-task

  • Able to sit for long periods of time

  • Virtual platform knowledge including Doxy.me and Zoom

Schedule

  • Monday-Friday; 8:00am-5:00pm (flexibility is a must)
