Hospitality Promotion Group at Rakuten Group is a key part of our B2B marketing strategy. Our mission is to strengthen relationships with key clients, maximize business contributions, and drive various VIP events within the group.
We are currently seeking a VIP Events Specialist for a crucial role that leverages Rakuten Group's diverse sports and entertainment assets to foster special relationships with key clients through exclusive VIP events.
In this position, you will work closely with Rakuten Group executives and their secretaries, managing all aspects of guest relations for a wide range of VIP events. This includes top-tier sports events like Rakuten Golden Eagles and Vissel Kobe matches, as well as cutting-edge AI and technology-focused events that span Rakuten Group's diverse business domains. You will also have the unique opportunity to collaborate with stakeholders to create hospitality areas that reflect Rakuten's latest brand concepts – an experience rarely found elsewhere.
From the initial planning stages of an event, you will develop guest invitation schedules, execute tasks accordingly, and oversee VIP guest reception on the day of the event. This end-to-end responsibility will allow you to hone essential career-building skills such as coordination and negotiation with internal and external stakeholders, and project management.

Position Details
As a member of the Hospitality Promotion Team, you will be responsible for the following:
- Managing invitations for key customers to various events (2025 invitation event examples: Rakuten Super Nighter (Eagles) / Rakuten Super Match (Vissel) / Beethoven's "Ninth" Special Concert (Tokyo Philharmonic) / Rakuten Optimism, etc.)
- Communicating with executive assistants from various companies, including the President's Office, and with internal and external stakeholders.
- Directing external vendors.
- Salesforce operation (used as a tool for a series of invitation tasks, including confirming invitation intent, creating invitation/information email distribution lists, managing attendance responses, and tracking on-site attendance records on the day of the event).
- On-site event operation on the day of the event.
Work Environment
- On-site work on Saturdays and Sundays for event day operations (3-4 times a year).
- Generally, four days a week in the office.
- High communication and negotiation skills, including meticulous interaction with VIPs, executives, and secretaries.
- Meticulousness with attention to detail.
Mandatory Qualifications:
- Work experience in VIP handling, such as secretarial work or VIP guest relations.
- 5+ years of experience in the above-mentioned job responsibilities.
Desired Qualifications:
- Experience in customer management using Salesforce.
