Job Summary

Responsible for the daily operation, maintenance, and support of Vistra’s VNDLY- Vendor Management System platform. This role balances technical system administration with core vendor management functions, ensuring the system efficiently manages the vendor lifecycle, from onboarding to performance monitoring and offboarding. 

Job Description

Key Accountabilities

*System Administration & Maintenance: Manage the day-to-day functionality, performance, and health of the VNDLY (VMS) platform. This includes user account management, access controls, and coordinating system updates or patches with the software vendor or internal IT teams

*Vendor Onboarding & Offboarding: Administer the vendor lifecycle within the system, ensuring new vendors are properly vetted, onboarded, and their records are complete and accurate. Manage the termination and data archiving process for inactive vendors

*Training & Documentation: Develop and maintain procedural documentation, user guides, and SOPs for the VMS. Provide training and support to internal users to ensure effective system use and adherence to policies.

*Process Improvement: Analyze existing processes and data to identify inefficiencies and recommend solutions to improve workflows, increase automation, and enhance overall vendor management efficiency.

*Issue Resolution & Support: Act as the primary point of contact for system users (internal staff and vendors) regarding VNDLY inquiries and issues. Troubleshoot technical problems, resolve vendor disputes, and escalate complex issues to appropriate internal teams (e.g., IT, finance, legal) or the VNDLY vendor support as needed.

*Data Integrity & reporting: Run reports, metrics and creates dashboards.

*Contract & Compliance Management: Upload, track and monitor vendor contacts and related documentation to ensure compliance.

Education, Experience, & Skill Requirements

*Proven experience in vendor management, procurement, contract administration, or as a system administrator, preferably in a VMS or ERP environment
*Excellent problem-solving, analytical, and critical thinking skills.
*Strong communication and interpersonal skills to effectively manage internal and external stakeholder relationships.
*Exceptional attention to detail and strong organizational and time management abilities
*High school diploma or equivalent
*Experience gained through college degree programs and/or certifications is applicable to above skills
